About the Role

The Client Services Coordinator relieves Real Estate agents of administrative, research, and analytical functions to increase agent production time. This role manages a variety of situations and conflicts related to clerical and administrative functions, plans and accomplishes goals using experience and judgment, and may direct the work of others.

Responsibilities

  • Types and supports the production of general correspondence, memos, charts, tables, graphs, site plans, etc.
  • Proofs copy for spelling, grammar, and layout, making appropriate changes to ensure accuracy and clarity.
  • Manages the creation and execution of Listing Agreements, Letters of Intent/Offer Letters, Commission Agreements, Lease Agreements, and Purchase & Sale Agreements.
  • Stores received agreements in client/deal folders and executes appropriate checklists/processes.
  • Enters all transactions and required documentation into Frankie.
  • Completes necessary steps in Frankie to create/send commission invoices and process payments.
  • Monitors commission demand letters and balances for sales teams.
  • Coordinates with legal on past due commission invoices.
  • Manages the creation and storage of client/deal folders.
  • Maintains company database by adding or verifying contact information and property databases.
  • Maintains pipeline reports and tracking spreadsheets.
  • Performs market research for general information, comps, and tenant write-ups.
  • Assists the Business Line’s marketing person in creating demographic maps, aerials, target area maps, and reports using Regis, ESRI, and/or CoStar.
  • Assists the Business Line’s marketing person in executing marketing projects, including coordinating and creating direct mailings and eblasts, ordering property signs, booking property photos/drone videos, and preparing executive summaries, brochures, placemats, pitch packages, market/tenant rep packages, and press releases.
  • Assists in the creation of collateral including property brochures, market surveys, market tours, proposal packages, and business development initiatives.
  • Ensures all listings are properly displayed on necessary websites and advertising outlets (e.g., Company website, LoopNet, CoStar Crexi).

Requirements

  • 2 years of administrative experience or a Bachelor of Science or Bachelor of Arts degree.
  • Paralegal background is helpful, but not required.
  • Experience working in databases.
  • Experience utilizing a variety of marketing/media communication vehicles including web, email promotion, and traditional service/product collateral is a plus.
  • Ability to calculate figures and amounts such as basic financial math, commissions, deposits, interest, and percentages.
  • Strong ability to learn and adapt to new software, platforms, technology, and AI tools.
  • Interest in leveraging technology to improve efficiency and workflow.
  • Experience with a variety of marketing and communication platforms, including web, email, and digital or traditional marketing materials, is a plus.
  • Client-facing functions requiring property-specific information (including pricing and property condition) necessitate a Real Estate license.
  • Professional level proficiency in MS Office applications (Excel, Word, Outlook) and internet/application software.
  • Willingness and ability to learn new software programs.
  • High-level data entry skills.
  • Beginner/Intermediate knowledge of Adobe Creative Suite – InDesign, Photoshop, Illustrator, and Acrobat Pro is strongly preferred.
  • Prior experience or coursework in Real Estate is preferred.
  • Ability to read, analyze, and interpret general real estate contracts, professional journals/publications, and/or governmental regulations, and abstract leases.
  • Demonstrated administrative organizational skills.
  • Ability to multi-task in a fast-paced setting.
  • Strong written and verbal communication skills (professional level English).
  • Ability to speak clearly and concisely.
  • Ability to represent the company professionally in person and over the phone with a pleasant demeanor and customer service focus.
  • Ability to work independently with minimal direction/supervision.
  • Problem-solving ingenuity, conflict resolution skills, and team player qualities.
  • Must be able to successfully pass pre-employment (post-offer) drug screen and background check.
