About the Role
Provides high-level administrative and operational support to the Senior Vice President and Asset Optimization Team, serving as a trusted partner for executive communications, presentations, procurement, reporting, and document management.
Responsibilities
- Coordinate project meetings, prepare agendas, record meeting minutes, and track action items.
- Maintain confidential records and handle sensitive information with professionalism and discretion.
- Assist with special projects and strategic initiatives.
- Create, edit, and format professional PowerPoint presentations for various stakeholders.
- Gather and organize data, charts, graphics, and content for high-quality presentations.
- Ensure consistency with company branding and communication standards.
- Prepare recurring and ad hoc reports, dashboards, and executive summaries.
- Collect, analyze, and organize information from multiple departments to support leadership decision-making.
- Track key performance indicators and assist with preparation of management reports.
- Coordinate with vendors and internal stakeholders regarding procurement activities.
- Monitor purchase order status, invoices, and budget tracking.
- Maintain procurement records and ensure compliance with company policies and procedures.
- Serve as a commissioned Notary Public and notarize business documents.
- Coordinate department events and meetings.
- Support department budget tracking and reporting.
- Provide administrative support to project managers, engineers, and site leadership involved in hydroelectric repowering projects.
- Maintain project files, correspondence, schedules, and records in accordance with company document control requirements.
- Assist with project reporting, presentations, and status updates.
- Organize and maintain engineering drawings, specifications, contracts, permits, and project records.
- Compile information for regulatory reporting and audits.
Requirements
- Associate's degree in Business Administration, Office Management, Project Administration, or a related field preferred.
- Equivalent combination of education and experience will be considered.
- 3+ years of administrative support experience, preferably in construction, engineering, utilities, energy, or industrial environments.
- Experience supporting capital projects is preferred.
- Familiarity with document control processes is highly desirable.
Skills
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, Sharepoint, One Drive and Teams.
- Ability to manage confidential and sensitive information.
- Strong attention to detail and accuracy.
- Ability to work independently and collaborate with cross-functional teams.

Experience Level
- 3+ years of administrative support experience
Education Level
- Associate's degree in Business Administration, Office Management, Project Administration, or a related field preferred.
- Equivalent combination of education and experience will be considered.
Salary/Compensations
- $75,000 - $90,000 per year
