About the Role

This role supports the asset management and administration of Trust Real Estate, Closely Held Businesses, and Mineral/Oil/Gas interests in fiduciary accounts. It facilitates asset addition/removal, processes income and expenses, assists with information collection for requests or regulatory requirements, updates tracking reports, and provides general support to the asset management team. The position also assists with more complex accounts, tasks, and projects, and develops relationships with colleagues and clients to execute administrative functions.

Responsibilities

  • Process administrative tasks related to Specialty Wealth Assets, including income/expenses, property taxes, and insurance matters.
  • Prepare and submit documents for account openings and closings.
  • Provide customer service to trust clients, businesses, and professionals.
  • Provide administrative support to SWA officers and management.
  • Initiate annual administrative review of accounts, checking files for accuracy and completeness.
  • Prepare and maintain accurate account and departmental documentation, files, and records.
  • Respond to and research client and colleague inquiries via phone, email, and written communications.
  • Assist with complicated accounts, processes, projects, and tasks.
  • Maintain various tracking spreadsheets and logs for the group.
  • Attend internal and external calls, events, and meetings with clients, COI's, and vendors.
  • Maintain proficient knowledge of and demonstrate ongoing compliance with all applicable laws and regulations.
  • Ensure adherence to pertinent policies, procedures, and internal controls.
  • Meet all job-specific training requirements in a timely fashion.
  • Maintain all appropriate training and continuing education requirements.
  • Perform other related duties as assigned or directed.

Requirements

  • 3+ years of operational/administrative experience
  • 3+ years of real estate or trust administration experience
  • 3+ years of Microsoft Office experience/technical proficiency
  • Strong written and verbal communication skills
  • Ability to gather, arrange, compile, interpret, analyze, summarize and evaluate information and data to identify opportunities and formulate conclusions and recommended actions
  • Ability to set priorities and objectives
  • Working knowledge of real estate, closely held entities, and/or mineral/oil/gas interests helpful
