About the Role

Fairmont Royal York is seeking an individual to be responsible for the planning and servicing of events varying in size and scope for both corporate and social markets. This role involves collaborating with clients, internal departments, and culinary teams to curate custom menus, coordinate logistics, and ensure a memorable guest experience.

Responsibilities

  • Plan and service events of varying sizes and scopes for corporate and social markets.
  • Solicit and confirm event-related information with clients to fulfill contractual timelines.
  • Disseminate event information to all departments professionally and timely via email, directives, event orders, resumes, rooming lists, and internal planning meetings.
  • Plan creative experiences and curate custom menus in collaboration with the Executive Chef.
  • Coordinate production elements and logistics, including electrical, internet, telecommunications, audio-visual, exhibit, and third-party requirements.
  • Create floor plans that optimize space and ensure a memorable guest experience.
  • Finalize event setups in the planning phase to ensure agreement between banquet operations and the client prior to setup.
  • Obtain guarantees of food and beverage events for banquets and culinary operations to manage and control labor and food costs.
  • Manage guestroom blocks and food and beverage covers to maintain forecast accuracy.
  • Initiate billing procedures, ensuring client credit is established and deposits/credit applications are received with adequate information and within an acceptable timeline.
  • Yield guestroom and meeting/event space daily to ensure optimum potential using Opera Sales & Catering and PMS systems.
  • Conduct pre-conference meetings to ensure key operational departments are engaged and prepared to exceed client expectations.
  • Conduct and/or attend daily meetings to review event logistics and communicate last-minute revisions to banquets, culinary, stewarding, and on-site audio-visual providers.
  • Adhere to liquor and fire safety laws and regulations.
  • Stay knowledgeable on current industry trends and competitive offerings.
  • Attend daily, weekly, and monthly departmental, divisional, and operational meetings.
  • Facilitate post-conference follow-up with Sales and Event Sales Managers to address event strengths/weaknesses and solicit return business.
  • Establish business and social relationships with industry clients and partners by participating in activities to increase sales opportunities.
  • Follow guidelines and timelines as detailed in the Event Sales & Services checklist.

Requirements

  • Hospitality Management Degree or equivalent is an asset.
  • Experience in sales, event planning, and hotel operations is an asset.
  • Knowledgeable on food and beverage trends and the luxury hotel market.
  • Possess excellent customer service and interpersonal skills.
  • Results-oriented and highly motivated individual.
  • Proven ability to plan and execute events effectively with strong attention to detail.
  • Working knowledge of Opera Sales & Catering – PMS, Microsoft Office - Word, Excel, PowerPoint, and Social Tables.
  • Strong written and verbal communication skills.
  • Must be legally eligible to work in Canada.
  • Ability to focus attention on guest needs, remaining calm and courteous at all times.
  • Frequent sitting and standing throughout shift.
  • Occasional lifting and carrying up to 20 lbs.
  • Occasional kneeling, pushing, pulling, lifting.
  • Occasional ascending or descending ladders, stairs, and ramps.
