About the Role
Meneses Law is seeking a high-energy, bilingual Administrative Assistant to manage daily operations and support clients seeking legal options.
Responsibilities
- Handle incoming calls and communications in Spanish and English.
- Manage filing systems (e-file, paper file, scanning).
- Record information according to instructions.
- Greet clients and visitors.
- Update paperwork, maintain documents, and perform word processing.
- Organize and maintain shared office areas.
- Perform general office clerk duties including filing, typing, scanning, printing, and meeting deadlines.
- Maintain office equipment.
- Assist with client reception, including scheduling and communication.
- Create, maintain, and enter information into databases.
- Perform other assigned tasks as needed.
Requirements
- Excellent verbal and written communication skills.
- Excellent organizational skills, time management skills, and attention to detail.
- Proficient with technology and able to learn software systems.
- Strong analytical and problem-solving skills.
- Ability to prioritize tasks.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficient with Microsoft Office Suite and MacOS systems.

- Two years of work experience as an Administrative Clerk or similar clerical role.
- Good understanding of clerical operations (recruiting, onboarding, training, and compensation).
- Knowledge of principles and procedures of record keeping.
- Proficiency in English usage, spelling, grammar, and punctuation.
- Ability to work in a fast-paced environment.
- Ability to work well under pressure.
- Ability to type 45 WPM or more.
- Must be fluent in English and Spanish.
- Associate's or Bachelor's degree.
- Knowledge of MS Office and MacOS.
- Ability to read comprehension, write, and speak effectively.
- Active listening skills.
- Ability to interpret instructional documents.
- Must be able to analyze information, problems, situations, practices, or procedures.
- Must be able to define problems or objectives.
- Must be able to identify relevant concerns or factors, patterns, tendencies, and relationships.

- Involves regular walking, standing, sitting for extended periods, hearing, and talking.
- May occasionally involve stooping, kneeling, or crouching.
- May involve close vision, color vision, depth perception, focus adjustment, and viewing computer monitor for extended periods.
- Involves manual dexterity for using keyboard, mouse, and other office equipment.
- May involve moving or lifting items under 10 pounds.
- Strong knowledge of business and management principles involved in strategic planning, leadership technique, production methods, and coordination of people and resources.
- Work Monday to Friday from 8:00 am to 5:00 pm + 2 Saturdays per month.
- Must have the ability to work a flexible schedule based on department and company need.
