About the Role

The Executive Assistant will support the Head of Financial Protection & Retirement Solutions and one additional senior executive. This role requires high emotional intelligence, strong interpersonal skills, technical proficiency, an incredible work ethic, and the ability to proactively anticipate and manage executive needs. The successful candidate will exercise considerable discretion and confidentiality, possessing the organizational skills to manage daily tasks and deadlines. This position offers the opportunity to work closely with senior leadership and play a key role in the organization's success.

Responsibilities

  • Provide proactive executive administrative support, ensuring excellent service and professionalism.
  • Demonstrate problem-solving abilities and propose recommended solutions.
  • Consistently exhibit excellent judgment, integrity, confidentiality, discretion, and diplomacy when handling sensitive information.
  • Coordinate all travel arrangements and process reimbursable expenses promptly.
  • Proactively manage calendars, schedule meetings, arrange logistics, and resolve conflicts.
  • Interact with internal and external executives and assistants, responding to requests with urgency.
  • Prioritize and manage workflow to ensure quality, efficiency, and meet deadlines, while remaining flexible to changing priorities.
  • Proactively address or resolve issues within your area of accountability and keep leadership informed.
  • Collaborate with the sourcing team and other parties to initiate purchase orders and manage vendor payments.
  • Prepare correspondence, reports, presentations, and other materials, meeting all deadlines.
  • Assist with special projects and perform additional assignments as needed, demonstrating a growth mindset.

Requirements

  • Bachelor’s degree in business administration, a related field, or equivalent experience.
  • 5+ years of experience as an Executive Assistant supporting C-suite level senior executives.
  • Organizationally savvy with the ability to read sensitive situations and respond effectively.
  • Strong knowledge of audio-visual setup (e.g., video conferencing) and ability to collaborate with AV teams.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage competing priorities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in project management and event coordination.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to work independently and as part of a team.
  • Flexibility to work outside of regular business hours when needed.
  • Flexibility to travel as needed for offsite meetings and key events (maximum 10% of time).
