About the Role
This role will oversee the school’s day-to-day business operations, financial administration, purchasing, payroll coordination, compliance, and facilities support. The School-Based Business Manager will partner with school leadership, staff, vendors, families, and external service providers to ensure efficient operations and responsible stewardship of school resources.
Responsibilities
- Manage daily school business operations, administrative systems, and office procedures to support an effective learning environment.
- Prepare, monitor, and maintain school budgets in collaboration with school leadership and organizational finance teams.
- Track expenditures, purchase orders, invoices, reimbursements, deposits, and other financial transactions with accuracy and timeliness.
- Monitor budget-to-actual activity and provide regular financial reports, updates, and recommendations to school leaders.
- Coordinate purchasing activities and ensure adherence to organizational policies, approved budgets, procurement procedures, and applicable regulations.
- Manage vendor relationships, contracts, service agreements, invoices, and payment documentation.
- Coordinate payroll processes, timekeeping, staff attendance records, and related personnel administration in partnership with the human resources and finance teams.
- Maintain accurate and confidential financial, operational, employee, and school records.
- Support annual audits, financial reviews, compliance reporting, and requests for documentation.
- Assist with enrollment-related processes, student records, attendance reporting, and other school information systems as needed.
- Oversee office operations, including supplies, equipment, mail, filing systems, reception procedures, and administrative workflows.
- Coordinate facilities, maintenance, security, transportation, food service, and other operational services with internal teams and external providers.
- Help ensure the school complies with health, safety, insurance, licensing, financial, and regulatory requirements.
- Develop and improve business processes, internal controls, policies, and systems that promote efficiency and accountability.
- Provide responsive customer service to school leaders, staff, students, families, vendors, and community partners.
- Protect confidential information and exercise sound judgment when handling sensitive financial, employee, student, and operational matters.
- Participate in school leadership meetings, planning initiatives, emergency preparedness activities, and continuous improvement efforts.
Requirements
- Bachelor’s degree in business administration, accounting, finance, public administration, education administration, or a related field preferred.
- Two or more years of experience in school operations, business administration, finance, accounting, office management, or a related field preferred.
- Experience managing budgets, processing financial transactions, reconciling records, and monitoring expenditures.
- Knowledge of accounting principles, purchasing procedures, internal controls, payroll processes, and operational compliance.
- Strong proficiency with Microsoft Office, Google Workspace, spreadsheets, financial systems, and database applications.
- Experience with school information systems, accounting software, payroll platforms, or enterprise resource planning systems is an asset.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.
- Strong analytical, problem-solving, communication, and interpersonal skills.
- Ability to interpret financial information, identify discrepancies, and recommend practical solutions.
- Ability to work independently while collaborating effectively with school leadership, central office teams, staff, and vendors.
- Demonstrated commitment to confidentiality, ethical conduct, accuracy, and responsible financial stewardship.
- Ability to work in a fast-paced school environment and respond professionally to changing operational needs.
- Background check and clearance for working with youth required, where applicable.
