About the Role

The Transition Associate supports Transitions for onboarding new Advisor Teams, playing a key role in business growth by utilizing exceptional client service skills and attention to detail to manage and complete Advisor Onboarding tasks and projects.

Responsibilities

  • Prepare account documentation and complete quality control processes, including reviewing Personal Information Forms (PIF), analyzing PIF information to establish account types, platforms, and selecting templates, identifying missing information, and completing templates and packages.
  • Manage documentation finalization, workflow initiation, and follow-up, including uploading or printing packages for client delivery, tracking packages throughout the workflow process, and uploading to DocuSign.
  • Complete documentation corrections by communicating with various departments to identify and rectify required corrections, updating documentation, and reinitiating workflows.
  • Complete ongoing reporting, including package tracking via Transition Tracker, completing Daily Summary reporting on metrics, updating and maintaining Smartsheet data and documents, and completing ad hoc reporting.
  • Process transfers by reviewing transfer forms for accuracy and completeness, initiating transfers via partner website/tools, tracking, reconciling, and following up on all transfers, and monitoring transfers for rejections and reprocessing if necessary.
  • Provide support to incoming and recently-transitioned IA teams by acting as a general resource person for firm products, procedures, and policies, and liaising with marketing and IT providers to support team onboarding.

Requirements

  • Completion of post-secondary education in business administration, accounting, finance, or a similar field of study is preferred.
  • 1+ years of experience in a customer/client-service facing role, or a minimum of 1 year as a Junior Transition Associate.
  • Equivalent combination of education and experience may be considered.
  • Experience in wealth management/financial services or other regulated industry is a strong asset.
  • Proficiency with the MS Office suite, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Strong knowledge and desire to learn new technology applications quickly, such as DocuSign, custodian applications, and WA systems.
  • Valid CSC/CPH or Canadian Investment Regulatory Exam (CIRE) is considered an asset.
  • Exceptional organizational skills.
  • Ability to communicate effectively, both written and verbal, with all levels within the organization, across various mediums (in-person, over the phone, virtually).
  • Ability to adapt quickly to changing needs and work requirements.
  • Demonstrated ability to learn job-specific/proprietary technology and systems in an accelerated amount of time (within 3 months of hire).
  • Proven, reliable work ethic with the ability to manage multiple, competing priorities.
  • Established ability to independently identify problems and make suggestions for improvement.
  • Experience working within defined processes with the ability to independently manage tasks and outcomes.
  • Excellent attitude and commitment to providing extraordinary service.
  • Excellent attention to detail.
  • Ability to maintain the highest levels of confidentiality.
  • Willingness and ability to work overtime as business needs dictate, including evenings and weekends.
  • Must be legally eligible to work in Canada.
  • A background check, satisfactory to the employer, may be required.
  • Must be able to travel within Canada 0-15% of the time.
