About the Role
The Supervision group is responsible for the supervision and regulation of various financial institutions. This role provides senior-level administrative support to the Supervision Officer team for a one-year temporary assignment, with potential for extension or conversion to a regular role. The ideal candidate will be exceptionally organized, proactive, and possess strong relationship-building skills to support a team of 350 employees.
Responsibilities
- Provided senior-level administrative support to the Supervision Officer team.
- Proactively manage Officer team schedules, travel arrangements, and correspondence, routing sensitive and priority items promptly.
- Ensure the Officer team is fully informed and prepared with pertinent documents for meetings and events.
- Maximize the usefulness of Officer and Group meetings through administrative, critical thinking, and technological skills, experimenting with new approaches for maximum ROI.
- Coordinate internal and external meetings, including scheduling, travel arrangements, onsite logistics, and ensuring meeting amenities.
- Support executives and the broader organization with excellent verbal and written communication skills, collaborating to deliver key communications.
- Collaborate with a team of administrative professionals to provide a range of administrative support across Supervision, including hosting guests, coordinating System meetings, large events, procuring supplies, and managing invoices.
Requirements
- Associate’s degree or equivalent work experience as an Executive Assistant.
- Typically requires six or more years of related professional experience.
- Proven ability to communicate effectively across all levels within an organization.
- Knowledge of Office365, MS Excel, Word, Outlook, and OneNote.
- Able to work both independently and with a team.
- Ability to multi-task, maintain attention to detail, and maintain a professional demeanor and positive attitude.
- Expert-level calendar management and ability to juggle competing priorities.
- Strong organizational skills with meticulous attention to detail.
- Proactive mindset—anticipate needs before being asked.
- Flexibility to adapt when priorities shift.
- Must be a "Protected Individual" (U.S. citizen, U.S. national, eligible U.S. permanent resident, or permanent resident who has applied for naturalization within six months of eligibility or will sign a declaration of intent to apply for naturalization before employment).
