About the Role

The Medical Office Specialist provides clinical and administrative support to physicians and surgeons, assisting in patient care and performing duties necessary for quality healthcare delivery. This role is integral to the health team, supporting patient and family care and unit operations.

Responsibilities

  • Monitors patient flow and resolves related issues.
  • Prepares examination rooms and instruments according to hospital and infection control policies.
  • Monitors patient vital signs.
  • Performs phlebotomy, point-of-care testing, EKGs, and other physician-ordered procedures.
  • Sets up oxygen and suction equipment.
  • Manages medical supply inventory, orders, and restocks supplies, monitoring and disposing of expired items.
  • Maintains logging systems for medications, point-of-care testing, and sterilization.
  • Performs routine maintenance and cleaning of equipment and instruments, reporting malfunctions.
  • Maintains a safe, secure, and healthy work environment, complying with standards and regulations.
  • Adheres to personal protective equipment requirements for handling hazardous substances.
  • Responds rapidly and calmly during emergencies, initiating CPR and providing necessary items.
  • Transports patients and equipment as needed.
  • Performs direct patient care as assigned by RN/LPN within legal and policy frameworks.
  • Documents patient information in the medical record/EMR.
  • Greets, registers, and directs patients, arranging transportation.
  • Screens calls, responds to messages, and handles inquiries about department services.
  • Schedules appointments and completes pre-registration, including insurance verification and demographic collection.
  • Fulfills clerical responsibilities using EMR or manual systems, managing patient records and reports.
  • Performs routine cash collections at the time of service.
  • Completes forms and requisitions, manages and files medical charts.
  • Retrieves reports and data from computer systems.
  • Verifies and updates insurance information using internal and electronic sources.
  • Obtains and documents managed care referrals, pre-certifications, and authorizations.
  • Supports surgical or procedure scheduling, verifying times, and preparing necessary forms.
  • Maintains knowledge of New York State third-party payer eligibility requirements.
  • Utilizes medical terminology and enters ICD-10-CM and CPT information into computerized systems.
  • Assists in training, orientation, and education of staff.

Requirements

  • High School Diploma/GED
  • Certification as a Medical Assistant from an approved school or two years of experience working as a medical assistant
  • Two years of experience working as a medical assistant
  • One year of experience in EPIC Scheduling and Registration
  • Basic Life Support (BLS) certification (1 Year) from AHA or Red Cross
