About the Role
The Onboarding & Orientation Specialist plans, coordinates, and delivers a comprehensive orientation and evaluation program for newly hired drivers. This role ensures drivers are properly onboarded, understand company policies, and meet all regulatory requirements before operating. The specialist evaluates driver readiness, facilitates training and documentation, administers tests, and provides a professional onboarding experience to support safety, compliance, and retention. This position acts as a key liaison among various departments including Recruiting, Safety, Operations, and Human Resources.
Responsibilities
- Plan, coordinate, and facilitate in-person and virtual driver orientation sessions.
- Deliver an introductory orientation presentation covering company history, mission, values, culture, and safety standards.
- Present and reinforce company policies, operational procedures, and safety standards.
- Facilitate the completion of all required onboarding documentation.
- Verify that drivers are properly established in applicable company systems.
- Clearly communicate orientation schedules, requirements, and expectations to attendees.
- Coordinate daily orientation logistics, including meals, training materials, and meeting schedules.
- Ensure drivers can successfully access and use Motive for essential functions like hours-of-service and inspection reports.
- Train drivers on and verify their ability to use Motive for daily tasks and reporting.
- Reinforce Page Trucking’s safety protocols, compliance requirements, and performance expectations.
- Track and verify the completion of required training modules, assessments, and certifications.
- Coordinate and conduct road tests for company drivers, owner-operators, and fleet owners.
- Evaluate driver readiness and promptly communicate any concerns to the Safety Director.
- Help ensure compliance with federal, state, and company requirements.
- Monitor driver completion of assigned tasks in Paycom, Tenstreet, Motive, and other systems.
- Partner with Safety, Risk, and Compliance personnel to reinforce safe operating practices.
- Develop and manage the daily orientation schedule.
- Coordinate presentations and meetings involving various departments and leadership.
- Schedule road tests, equipment evaluations, system training, and other required activities.
- Coordinate owner-operator and fleet-owner meetings, including lease agreement discussions.
- Confirm presenter availability and communicate schedule changes.
- Adjust orientation schedules in real time based on operational needs.
- Ensure orientation activities occur in the proper sequence and within established timeframes.
- Create a welcoming, organized, consistent, and professional onboarding experience.
- Serve as the primary point of contact for drivers throughout orientation.
- Respond to driver questions, concerns, and needs promptly and professionally.
- Escalate operational, employment, safety, or compliance concerns to the appropriate personnel.
- Build professional rapport with drivers to encourage engagement and retention.
- Coordinate meals and hospitality arrangements for orientation attendees.
- Ensure drivers understand available resources and points of contact before completing orientation.
- Maintain accurate, complete, and organized orientation records.
- Track onboarding progress, outstanding requirements, compliance status, and orientation outcomes.
- Print, distribute, scan, file, and store required records in accordance with company procedures.
- Maintain organized electronic records in Tenstreet and other internal systems.
- Prepare and provide reports related to orientation completion, driver readiness, and training status.
- Protect confidential employee, driver, and company information.
- Work closely with Recruiting to support a smooth transition for new drivers.
- Coordinate with Human Resources to ensure accurate and timely completion of onboarding requirements.
- Partner with Safety, Compliance, Risk, and Operations to promote consistent messaging.
- Communicate with Maintenance personnel regarding equipment availability and condition.
- Collaborate with the Page Training Center and external trainers for training and assessments.
- Schedule and confirm presentations, meetings, and evaluations with internal stakeholders.
- Communicate unresolved onboarding issues to the appropriate department and follow through.
- Prepare the classroom and ensure all training materials and equipment are ready.
- Collect, manage, and distribute lunch orders for orientation attendees.
- Monitor assigned systems throughout orientation to ensure timely task completion.
- Follow up with drivers regarding incomplete documentation, training, or system requirements.
- Provide drivers with required physical or electronic copies of forms and materials.
- Maintain professional communication through email, Microsoft Teams, and telephone.
- Provide regular orientation status updates to the Safety Director and relevant stakeholders.
- Perform other related duties as assigned.
Requirements
- High school diploma or equivalent.
- Valid Class A Commercial Driver’s License.
- Experience in trucking, transportation, logistics, driver training, or a related field.
- Working knowledge of DOT and FMCSA regulations and commercial driver compliance requirements.
- Strong communication, presentation, facilitation, and interpersonal skills.
- Ability to communicate expectations clearly to individuals and groups.
- Proficiency with Microsoft Office applications and general computer systems.
- Familiarity with driver-management, onboarding, or transportation systems such as Tenstreet, Motive, Paycom, or TMW.
- Ability to maintain accurate records and handle confidential information appropriately.
- Ability to coordinate multiple schedules, priorities, and stakeholders in a fast-paced environment.
- Previous experience coordinating driver orientation, onboarding, training, or safety programs.
- Experience with end-dump, roll-off, and flatbed trailer operations.
- Experience in molten metals, heavy industrial transportation, or other specialized transportation environments.
- Knowledge of electronic logging devices and fleet-management systems.
- Experience working with CDL drivers in a safety-sensitive environment.
- Experience conducting or coordinating commercial driver road tests.
- Strong organizational and time-management skills.
