About the Role

As a Recruiting Coordinator, you'll be a vital partner to both candidates and our internal teams, helping ensure a seamless, human-first hiring experience. You’ll serve as a primary point of contact for scheduling interviews and maintaining our applicant tracking system, while also supporting key initiatives across our Talent Operations function. Your focus will be on creating a high-touch, inclusive, and efficient hiring process that reflects Grow Therapy’s values. You’ll balance detail-oriented execution with warm, empathetic communication, ensuring candidates feel informed and cared for, and internal stakeholders are set up for success.

Responsibilities

  • Serve as the primary scheduling coordinator for candidate interviews, primarily for the Tech Team, ensuring logistics run smoothly across hiring teams, time zones, and interview formats.
  • Coordinate onsite interviews and act as the point of contact for candidates when they visit the office, providing white glove service and support.
  • Own communication with candidates throughout the interview lifecycle - providing timely updates, answering questions, and sharing resources that reflect our values and brand.
  • Partner closely with recruiters and interview teams to support organized and consistent interview processes.
  • Maintain data integrity in our applicant tracking system (ATS), ensuring accurate and up-to-date information across candidate and job records.
  • Develop and maintain internal documentation including SOPs, training materials, and communication templates.
  • Support cross-functional Talent projects including our new Early Talent initiative, aimed at process improvement, helping with documentation, implementation, and team-wide accountability.
  • Continuously seek opportunities to enhance the candidate experience by identifying bottlenecks, offering process suggestions, and advocating for inclusive practices.

Requirements

  • 1+ years of experience in a recruiting coordinator or talent operations role, ideally in a fast-paced or high-growth technology environment.
  • Highly organized, detail-oriented, and thrive when juggling multiple tasks and timelines.
  • Experienced with scheduling interviews and managing workflows within an ATS.
  • Worked with candidate records and pipelines, and understand the importance of clean, accurate data.
  • Excellent written and verbal communication skills, and enjoy interacting with people in a friendly and professional manner.
  • Proactive, collaborative, and energized by finding ways to make processes more effective.
