About the Role

Lead the operational performance, reliability, and long-term asset stewardship of Allied's real estate portfolio to ensure safe, efficient, and exceptional building operations. Oversee building systems, maintenance programs, capital planning, sustainability initiatives, vendor performance, and operational standards. Provide strategic leadership and subject matter expertise across property operations, engineering, and facility management functions, developing high-performing teams and fostering a culture of accountability, collaboration, and continuous improvement. Drive operational excellence, optimize asset performance, mitigate risk, and ensure Allied's buildings consistently deliver exceptional experiences for tenants while supporting long-term portfolio value and organizational objectives.

Responsibilities

Comply with company policies and standard operating procedures while ensuring consistent implementation of building standards, operational efficiencies, and best practices across the portfolio.
Ensure compliance with all applicable federal, provincial, and municipal legislation, regulations, codes, and standards, including health and safety, environmental, and life safety requirements.
Implement and continuously improve operational best practices in alignment with Allied’s National Operating Framework.
Serve as the senior operational subject matter expert (SME), providing guidance to leadership and acting as the primary escalation point for operational issues and strategic initiatives.
Support the development and implementation of national operational standards, strategic sourcing initiatives, procurement strategies, and vendor management programs.
Oversee all aspects of building operations, commissioning, maintenance, and asset performance, including HVAC, building automation systems, life safety systems, elevators, electrical distribution, plumbing, building envelope, and related infrastructure.
Ensure routine inspections, testing, and maintenance programs are completed across all building systems and critical equipment to maximize reliability, efficiency, and asset longevity.
Oversee the preventive maintenance platform and ensure all maintenance activities, inspections, and service records are accurately documented and completed.
Ensure all fire protection and life safety systems are inspected, tested, and maintained in accordance with legislative requirements and industry best practices.
Ensure seasonal operational requirements and contracted services are delivered effectively, including snow removal, landscaping, seasonal maintenance, and site presentation standards.
Monitor tenant service request performance, preventive maintenance completion rates, and operational KPIs to identify opportunities for continuous improvement and service excellence.
Develop and maintain audit processes, management tools, and compliance programs to ensure operational consistency, quality control, and adherence to corporate standards.
Establish, monitor, and report on monthly, quarterly, and annual operational performance metrics and KPIs.
Foster exceptional tenant experiences by ensuring operational issues are resolved in a timely, professional, and customer-focused manner.
Lead procurement activities, including contract negotiations, RFP processes, supplier evaluations, and vendor performance management.
Ensure service contracts are effectively managed, contractual obligations are achieved, and contractors are appropriately supervised and held accountable for performance.
Own the development, approval, monitoring, and execution of operating and capital budgets across the assigned portfolio, ensuring alignment with business objectives, asset strategies, and performance targets.
Lead the planning and execution of building condition assessments, lifecycle analyses, asset management strategies, and feasibility studies to support long-term portfolio planning.
Lead the implementation and enforcement of Allied’s Emergency Management Protocol (EMP) and Emergency Response Plan (ERP), ensuring proactive maintenance, contingency planning, business continuity, and emergency preparedness across the portfolio.
Monitor operational performance metrics, utility consumption, sustainability targets, and equipment lifecycle performance to identify risks, opportunities, and portfolio-wide improvement initiatives.
Collaborate closely with Portfolio Operations, Leasing, Construction, Development, and Property Management teams to support tenant improvements, capital projects, occupancy readiness, and Allied’s "street-to-suite" standards across the portfolio.
Support due diligence activities related to acquisitions, dispositions, redevelopments, and major capital investment decisions by providing operational and technical expertise.
Develop and maintain strong working relationships with internal stakeholders, service providers, tenants, consultants, and industry partners.
Champion Allied’s sustainability, wellness, user engagement, and ESG initiatives throughout the portfolio.
Support and maintain applicable BOMA, LEED, WELL, and other sustainability and operational certifications.
Oversee the successful transition of assets from development and construction phases to stabilized operations.
Respond to after-hours operational incidents and emergencies as required.
Lead root cause analysis for operational incidents and service failures, ensuring corrective actions are implemented and lessons learned are incorporated into portfolio and national operating standards.
Complete other duties and special projects as assigned.
Oversee the operational performance of a large and complex commercial real estate portfolio.
Lead, mentor, coach, and develop managers and operational teams, fostering a culture of accountability, collaboration, continuous improvement, and operational excellence.
Drive talent management initiatives, including workforce planning, recruitment, onboarding, training, succession planning, employee development, and performance management.
Ensure appropriate cross-training and operational readiness across all buildings and teams within the portfolio.
Provide oversight of staffing requirements, scheduling, overtime management, resource allocation, and workforce planning.
Promote a culture of professionalism, safety, customer service, and operational excellence while ensuring compliance with Allied standards and expectations.
Establish clear performance objectives and accountability measures while providing ongoing coaching, feedback, and development opportunities to team members.
Being in full uniform while on duty.

Requirements

Minimum 7 years of experience in Commercial Real Estate Facility Management and/or Project Management.
Minimum 5 years of hands-on experience in physical plant operations, HVAC/BAS, plumbing, electrical, fire alarm, and other related equipment and systems.
Minimum 7 years of progressive leadership experience, including direct management of managers and multi-disciplinary operational teams.
Experience leading complex capital projects, major building upgrades, tenant improvement projects, and redevelopment initiatives within commercial real estate environments.
Experience managing budgets and operational performance through KPIs and other performance metrics.
Experience establishing and implementing operational best practices, policies, and governance frameworks.
Engineering degree (Civil, Mechanical, Electrical) or a related discipline.
Strong knowledge of building operations and troubleshooting of building systems, including HVAC, electrical, plumbing, building automation systems, life safety systems, and building envelope components.
Strong knowledge of the Occupational Health and Safety Act (OHSA), WHMIS, and First Aid/CPR requirements.
Advanced ability to read and interpret plans, drawings, blueprints, specifications, and construction documentation, including working knowledge of CAD.
Strong knowledge of Provincial Building Codes and Regulations, Canadian Electrical Code, Provincial Fire Code, Electrical Safety Authority requirements, and ASHRAE standards.
Thorough knowledge of sustainability best practices, including energy management, decarbonization initiatives, waste diversion strategies, sustainability certifications, procurement standards, and ESG reporting.
Proven experience developing, managing, and forecasting operating and capital budgets.
Solid understanding of sourcing and procurement practices, vendor management, building systems maintenance, contract administration, and customer service excellence.
