About the Role

The Central Staffing Assistant ensures efficient hospital unit staffing by managing schedules, coordinating time off, monitoring employee activities, and facilitating payroll. This role requires making complex decisions to assign qualified staff, maintaining accurate records, and serving as a key point of contact for staffing inquiries.

Responsibilities

  • Develops schedules for nurses, aides, or other patient care providers using computer-based staffing software.
  • Receives and coordinates requests for time off.
  • Monitors clock-in/clock-out activities and notifies management of absences.
  • Prepares and transmits information for payroll.
  • Contacts employees to arrange coverage.
  • Adjusts daily staffing levels as needed.
  • Makes complex decisions to facilitate the assignment of qualified healthcare employees to meet staffing needs.
  • Collaborates with unit managers and supervisors.
  • Keeps accurate records of staffing assignments, scheduling, and changes.
  • Processes payroll for designated units, ensuring accuracy and timeliness.
  • Stays up-to-date with hospital policies, labor laws, and regulations related to staffing and payroll.
  • Serves as a point of contact for staffing-related inquiries, issues, and concerns.
  • Communicates effectively with unit managers, supervisors, and personnel to address staffing needs and resolve scheduling conflicts.
  • Generates reports related to staffing, scheduling, and payroll.
  • Provides regular updates to the Lead Hospital Supervisor on staffing metrics and issues.
  • Monitors the accuracy and integrity of staffing and payroll data, proactively identifying and rectifying discrepancies or errors.
  • Assists in the training and onboarding of new employees on staffing and payroll processes and procedures.
  • Performs related duties as assigned.

Requirements

  • Associate’s degree with a minimum of three years of administrative or health care related experience, or an equivalent combination of education and experience.
  • Detail-oriented, organized, and capable of working effectively in a fast-paced healthcare environment.
  • Proficiency in computer applications, including spreadsheet software (e.g., Microsoft Excel) and scheduling software.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to work 12 hour shifts with rotating weekends.
  • Prior experience in staffing and scheduling in a health care setting.
  • Knowledge of healthcare regulations and labor laws is a plus.
  • Successful candidates might be required to undergo a background verification with an external vendor.
