About the Role
The Administrative and Department Manager for CRRD will provide high-quality administrative support to the Senior Vice President (SVP) of CRRD and lead the department's overall administrative functions. This role offers a unique opportunity to gain insight into the operations and decision-making processes of a global humanitarian organization at the senior level.
Responsibilities
- Coordinate SVP calendars, meetings, and events.
- Arrange travel for the SVP.
- Manage media and external engagements for the SVP.
- Track SVP expenses.
- Coordinate departmental meetings and events.
- Manage departmental documents.
- Provide internal communications support.
- Offer AV and logistical support for meetings.
- Maintain departmental org charts and email lists.
- Support events and changes within the HQ office space.
- Manage SVP calendar and communicate with meeting participants.
- Support SVP speaking event and travel coordination.
- Handle media requests and last-minute schedule adjustments.
- Organize, schedule, and support HQ meetings, including room reservations, AV, and catering.
- Prepare and disseminate meeting materials, including presentations.
- Maintain and update shared calendars for SMT and Executive Board travel and leave.
- Submit credit card reconciliations and reimbursements for the SVP.
- Assist teams in obtaining SVP signatures and approvals.
- Maintain and disseminate files and resources from meetings.
- Support pillar document formatting and meeting preparation.
- Organize Box folders for collaboration and archival purposes.
- Update organizational charts monthly and as needed.
- Oversee Distribution List updates and ensure mailing list accuracy.
- Update the Emergency Contact List Card.
- Support onboarding for new CRRD hires by scheduling meetings with pillar leaders.
- Take ownership of strategic planning and coordination tasks.
- Identify and lead administrative process improvements.
- Support the rollout of new software, tools, and protocols.
- Assist with annual Core Humanitarian Standards audits.
- Arrange workshops and conferences, including venue, travel, and information dissemination.
- Plan and facilitate special occasions.
- Perform other duties as requested.
Requirements
- Bachelor’s degree, Associate’s degree, or equivalent.
- 2–3 years of professional experience in an administrative role.
- Excellent organizational skills, with the ability to manage competing priorities and time effectively.
- Service-oriented and flexible, with a commitment to support in a fast-paced environment.
- Sound judgment and discretion in handling confidential information.
- Proactive ownership mindset, anticipating needs and solving problems.
- Poise and confidence working with senior leaders and external stakeholders.
- Excellent interpersonal and communication skills for effective liaison across departments in a multicultural environment.
- Strong computer proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Ability to work independently, resourcefully, and take initiative.
- Flexibility with changing priorities and eagerness to learn.
