About the Role
The HR Operations Officer is responsible for accurate and timely payroll administration and provides operational support across the recruiting process. This position partners with members of the Human Resources Department to maintain accurate employee and payroll records, support compliance, respond to employee inquiries, and assist with HR projects and audits.
Responsibilities
- Process semi-monthly and special payrolls, including collecting and validating payroll changes, preparing worksheets, entering data, reviewing previews, resolving discrepancies, coordinating secondary review and approval, submitting funding requests, maintaining reports and documentation, and providing reporting to CFO.
- Maintain accurate payroll and employee records for promotions, transfers, compensation changes, employment status changes, paid time off policies, deductions, and other payroll-related changes.
- Create new hire payroll system profiles; assign and prorate paid time off. Process employee separations, calculate final wages and accrued vacation payments, and coordinate payment methods.
- Partner with ADP Workforce Now to troubleshoot payroll and system issues, coordinate configuration changes, manage payroll tax notices, submit tax amendments, and track matters through resolution.
- Prepare and submit required payroll-related tax, statistical, and regulatory filings and payments.
- Manage payroll matters including returned payments, payment reissuance, manual check calculations, live checks, payroll memoranda, and other payroll adjustments.
- Audit employee data across HR, payroll, retirement, and other applicable systems for consistency and accuracy.
- Support recruitment activities, including job postings, interview scheduling, and candidate communication.
- Respond to employee inquiries regarding payroll, timekeeping, attendance, and HR policies, escalating matters as appropriate.
- Support HR team members with benefits administration, audits, policy and procedure reviews, recordkeeping, and special projects.
- Maintain the confidentiality and security of employee, payroll, benefits, and other sensitive information.
Requirements
- Bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or a related field, or an equivalent combination of education and relevant experience.
- Two to five years of related payroll and/or human resources experience.
- Experience processing payroll using ADP Workforce Now is preferred.
- Working knowledge of payroll practices, wage and hour requirements, payroll taxes, and payroll recordkeeping is preferred.
- Proficiency with Microsoft Excel and payroll/HR information systems.
- Strong verbal and written communication and interpersonal skills.
- Ability to collaborate effectively and professionally with team members at all levels of the Bank.
- Demonstrates strong accuracy, organization, and follow-through when handling payroll data, deadlines, and employee records.
- Reviews data, researches discrepancies, identifies root causes, and supports timely resolution.
- Exercises sound judgment and discretion when handling confidential employee, compensation, payroll, and benefits information.
- Communicates clearly and professionally with employees, managers, senior leadership, vendors, and other business partners.
- Manages priorities, meets deadlines, follows matters through completion, and works independently within established procedures and controls.
- Works effectively with HR colleagues and cross-functional partners while maintaining appropriate segregation of duties and internal controls.
