About the Role
Via Licensing Alliance is seeking an Office Administrator to manage the daily administrative functions for the San Francisco office. This role supports seamless administrative operations, manages visitors, and provides general administrative, organizational, and communicative support to the San Francisco staff. The Office Administrator will be the main point of contact for the regional office and work closely with the Dolby Places Team.
Responsibilities
- Plan, budget for, and manage day-to-day activities of the San Francisco office.
- Seek out assistance requests from other departments.
- Manage office reception, mail, messenger services, FedEx, internal mail, and conference room scheduling.
- Receive visitors while maintaining security, provide refreshments, and notify appropriate parties of incoming visitors.
- Provide administrative support to senior leaders, including travel coordination, expense reporting, and presentation preparation.
- Maintain inventory of office supplies, non-IT office equipment, furniture, plants, artwork, and other assets.
- Coordinate weekly lunches and social events for San Francisco staff.
- Communicate and distribute incoming correspondence.
- Arrange for outgoing correspondence or packages.
- Arrange meetings and conference calls.
- Assist with mass mailings.
- Organize files and perform email filing.
- Handle various administrative requests.
- Receive and prioritize mail and shipments.
- Manage kitchen supplies and conduct inventory.
- Ensure proper ordering and maintenance of office supplies and groceries.
- Maintain the order and appearance of the San Francisco office and kitchen.
- Maintain office equipment and contact vendors for necessary repairs.
- Coordinate building improvements, repairs, maintenance, parking assignments, and office moves with the Dolby Places Team.
- Manage off-site and on-site storage as needed.
- Obtain janitorial and other office maintenance services.
- Receive, log-in, and distribute invoices and mail to appropriate departments.
- Manage and perform special projects as requested.
- Perform other duties as assigned.
Requirements
- Relevant prior work experience in a professional office environment.
- Professional and positive attitude.
- Detailed knowledge of administration practices.
- Well-developed interpersonal and communication skills.
- Detail-oriented with the ability to work independently and organize/manage multiple priorities.
- Professional maturity, discretion, and cooperation in dealing with people at all levels inside and outside the Company.
Skills
- Strong proficiency in Microsoft Office business applications, especially Word, Excel, PowerPoint and Outlook.
