About the Role

As the Project Manager, you will coordinate and manage all administrative and logistical tasks through to project completion. This role requires a detailed, customer-service-oriented individual with excellent organizational skills and the ability to communicate effectively with project teams, sales teams, customers, and manufacturers to ensure timely project completion and customer satisfaction in a fast-paced, high-volume environment.

Responsibilities

  • Manage and oversee all administrative tasks assigned by Project Management team and Operation Managers.
  • Create and maintain job files, project records and archives in Procore and other CRM systems.
  • Optimize the project through all stages to completion including managing invoices, managing purchase orders, expense reports, etc.
  • Manage multiple projects on an ongoing basis.
  • Participate in project meetings and provide follow-up to team on key actions and priorities.
  • Coordinate and manage Turnkey project management team schedules, prepare meeting agendas, take meeting minutes and manage all project correspondence.
  • Manage subcontractor invoice review and processing.
  • Track and manage project expenses to ensure adherence to budget guidelines.
  • Manage and track project completion progress and maintain accurate and accessible documentation with all relevant project stakeholders.
  • Oversee tracking of sales teams and/or subcontractor’s procurement of materials and equipment required for project.
  • Develop and grow relationships with customers, contractors, project engineers and manufacturers.

Requirements

  • 5+ years of experience in HVAC, mechanical contracting, or construction industry experience is required.
  • Ability to prioritize, multi-task, deal with ambiguity and manage high volume projects.
  • Strong PC skills in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.

  • Able to solve problems and skillfully negotiate with a minimum of noise while managing stress.
  • Demonstrates integrity and trust through appropriate directness and truthfulness.
  • Ability to understand personal strengths and weaknesses, seek feedback and improve upon shortcomings.
  • Experience working in project management tools such as Procore, MS Project, Bluebeam is preferred.
