About the Role
The People Administrator is a specialist within Oliver's People team, responsible for comprehensive HR operations across UK and EMEA. This role is for someone with solid HR foundations looking to grow within a dynamic, international team. You will manage employee lifecycle documentation, support People Partners in core cyclical activities, and take ownership of projects as your expertise grows. You will also help ensure our processes are globally aligned, audit-ready, and continuously improving.
Responsibilities
- Manage employee documentation across the full lifecycle — offer letters, contracts, contract variations, and all relevant correspondence.
- Administer compliance casework, including probation, absence, disciplinary, grievance, performance management, redundancy, and TUPE documentation.
- Maintain accurate, secure, and compliant records across Sage (HRIS), Culture Amp, and Greenhouse (ATS).
- Quality-assure your own and team-generated documents, applying consistent attention to detail at every stage.
- Keep people processes audit-ready, with the employee lifecycle accurately and fully documented at all times.
- Coordinate new starter administration, inductions, and background or reference checks.
- Ensure right-to-work and data protection compliance across UK and EMEA markets.
- Continuously refine internal workflows for onboarding, offboarding, and all lifecycle events.
- Guide employees and managers through family leave processes, including maternity, paternity, and adoption.
- Deliver accurate, compassionate, and professional HR guidance to managers and employees as a first point of contact.
- Partner with People Partners and cross-functional teams to provide timely administrative support.
- Support core cyclical activities, including performance appraisals, compensation planning, and HR audits.
- Contribute actively to team meetings, sharing knowledge and collaborating across the wider People team.
- Lead on assigned projects with support from the People Operations Partner.
- Action monthly payroll data transfers to People Operations and Finance, ensuring complete accuracy.
- Run reports and analyse HR metrics to deliver insights and support ad-hoc projects.
Requirements
- Solid, practical knowledge of HR processes and UK employment law; familiarity with EMEA markets is a plus.
- Experience administering HR documentation and managing the employee lifecycle end to end.
- Exceptional attention to detail and strong organisational skills, with the ability to manage multiple workstreams at once.
- Comfortable working with HRIS platforms; experience with Sage is advantageous.
- Clear, professional communication and a collaborative, service-oriented approach — you handle sensitive matters with care and discretion.
- Confidence drawing insights from HR data, reports, and metrics.
- Professional proficiency in English; additional EMEA language proficiency is welcome.
- Proficiency with Gen AI tools relevant to HR and administrative work, used to improve output quality and efficiency.
- Experience building personal AI workflows to streamline how you work.
- An agentic approach — you break down complex tasks and find efficient solutions independently.
- Ability to critically evaluate AI outputs and apply human judgement before acting on them.
