About the Role

Support the regional finance and operations teams by providing administrative services for depot operations, ensuring processes are maintained to an excellent standard in line with company policy. This role involves close collaboration with various internal teams including Regional Finance, Fleet, P&T, Payroll, and the Depot Quality Manager.

Responsibilities

  • Manage and process weekly payroll for the network.
  • Liaise with the Junior Data Developer to resolve systemic issues.
  • Become a super user for Softworks and ODF portal.
  • Support timely and accurate supplier payments.
  • Audit stop merges and additional payments remotely.
  • Act as the key contact for audit queries.
  • Support the automation of tasks.
  • Provide absence cover for Depot Finance Assistants, including daily cost reporting, purchase order recording, invoice processing and coding, and updating absence management records.
  • Add new starters, agency, and cover drivers to training platforms.
  • Administer the complete self-employed process daily, including additional payment processing, stop merging, updating vehicle mileage records, and financial reconciliation.
  • Conduct Driver Licence, validate own van driver documentation, and Forklift Truck certificate checks, and organize refresher training.
  • Administer fuel stocks and orders.
  • Conduct local operational quality audits and maintain operational controls.
  • Comment on the SOP of vehicles not being used.
  • Upload compliance and HGV documentation to data studio.
  • Check that driver-reported defects for fleet vehicles have been actioned using the defect book and app.

Requirements

  • Carry out such other duties as may reasonably be requested by the management team.
  • Strong IT literacy (Microsoft Office / G Suite programmes).
  • Proven and demonstrable experience in a fast-paced administrative role, ideally within the transport industry.
  • Strong analytical skills with an awareness of quality assurance and auditing.
  • Strong communication skills with a confident telephone manner.
  • Demonstrate a high level of accuracy, self-motivation, and organisation.
  • Ability to self-manage workload and prioritise tasks according to deadlines, importance, and urgency.
