About the Role

This role is a part-time / job-share position with another person, fully office-based, responsible for reception and office management duties to ensure a welcoming and efficient environment.

Responsibilities

  • Meeting and greeting staff, clients, and visitors with a five-star welcome.
  • Managing reception and front of house to ensure a tidy and presentable entrance.
  • Maintaining a welcoming and positive culture, radiating Medialab’s values.
  • Offering and providing refreshments for meetings, organizing internal team lunches, and catering for in-house meetings.
  • Managing incoming phone calls in a friendly and professional manner.
  • Sorting and distributing post, dealing with deliveries, and booking couriers.
  • Handling office security, including opening and locking up each day across 4 floors.
  • Managing meeting rooms, including diary invites and schedule changes.
  • Organizing internal catering, weekly online office supplies/fruit shop orders, training/company meeting food orders, and drinks fridges.
  • Managing stock and ordering stationery, office supplies, and company-branded merchandise.
  • Managing employee joiners & leavers by allocating new passes/locker keys and ensuring returns are logged.
  • Ensuring general office upkeep across four floors, including meeting rooms, kitchen areas, and storage areas.
  • Maintaining the employee desk booking tracker, Kadence.
  • Updating company noticeboards, posters, and blackboards with weekly team updates.
  • Providing general ad-hoc admin support for Operations, HR, and other teams.
  • Arranging handymen/tradespeople for office fixes and supporting fire drills.

Requirements

  • Ability to manage reception, greet visitors professionally, handle phone calls, and maintain a tidy, welcoming entrance.
  • Hands-on experience keeping facilities, meeting rooms, and kitchens presentable, stocked, and running smoothly.
  • Competency in managing meeting room diaries, tracking desk bookings, and handling inventory/ordering.
  • Dependability to manage daily opening and locking up procedures across 3 floors.
  • Experience managing calendars and meeting rooms.
  • Experience working with clients / front desk.
  • Friendly, warm, and positive attitude.
  • A strong "can-do" attitude.
  • Ability to assist with meeting room tech support and liaise with external IT support teams to resolve screen or meeting room issues.
