About the Role

The Executive Assistant provides secretarial and administrative support services to a Brown University Health Executive, embodying the organization's values of Compassion, Accountability, Respect, and Excellence.

Responsibilities

  • Schedules meetings, types agendas and supporting documents, compiles and distributes materials, and arranges for rooms and refreshments.
  • Maintains attendance records and types and distributes meeting minutes.
  • Assists in preparing complex administrative reports, performing data gathering, and drafting analyses.
  • Interviews visitors and handles specific problems or requests within the scope of authority.
  • Opens, sorts, and distributes mail addressed to the Executive.
  • Maintains appointment schedules and arranges meetings and conferences.
  • Books travel and lodging accommodations for seminars and conferences.
  • Maintains accurate and orderly files, including confidential and personal files.
  • Takes shorthand and transcribes dictation of correspondence, reports, and memoranda.
  • Performs typing duties such as composing correspondence and preparing forms, tables, charts, records, and schedules.
  • Researches, fact-finds, and assembles initial materials and data for various projects.
  • Receives complaints and researches issues to resolution or referral.
  • Prepares payroll for approval.
  • May perform specialized functions such as bulk purchasing of supplies and requisitioning office supplies.
  • Maintains schedules, trains, and orients division clerical staff.
  • Provides direction and guidance to secretarial staff.
  • Maintains the Administrative Manual, including typing and distributing policies and procedures.
  • Records expenses and tracks them against budgeted expenses.
  • Reviews correspondence, memoranda, and reports prepared by others for accuracy and completeness.
  • May requisition regularly used office supplies with authority to sign for purchases within specified limits.
  • Maintains quality assurance, safety, environmental, and infection control standards.
  • Performs other related duties as required.

Requirements

  • Equivalent to an Associate's Degree in Secretarial Science.
  • Comprehensive knowledge of PC word processing and spreadsheet software applications.
  • Five years of progressively responsible secretarial experience.
  • Work is performed in a typical office environment, requiring extended periods of sitting, standing, and walking.
  • May provide functional supervision of up to four full-time equivalent employees, including scheduling, orienting, and providing guidance.

  • Shorthand may be required.
