About the Role
We are seeking an experienced, professional and patient-focused GP Receptionist / Administrator to join our team. The successful candidate will provide an efficient, courteous and professional reception and administrative service to patients, visitors, clinical staff, GP practices, secondary care services and other healthcare organisations. The role requires someone who can remain calm and professional in a busy environment, work effectively both independently and as part of a team, maintain strict confidentiality, and provide a high standard of service to patients at all times.
Responsibilities
- Opening up/locking up of Site premises and maintaining security.
- Maintaining and monitoring the appointments system.
- Calling patients and booking appointments.
- Processing telephone requests for appointments, directing callers to the appropriate healthcare professional.
- Updating patient records according to project guidelines.
- Taking messages and passing on information.
- Initiating contact with and responding to requests from patients, team members, and healthcare agencies.
- Clearing and re-stocking consulting rooms.
- Dealing with clinical waste.
- Keeping the work area free from obstructions and clutter.
- Participating in team meetings and contributing to process improvement initiatives.
- Monitoring the effectiveness of the appointment system and reporting issues.
- Working closely with other staff members to ensure smooth operations.
- Participating in pilot initiatives.
- Providing exceptional service to patients and external contacts.
- Maintaining a calm and helpful demeanor in high-pressure situations.
- Performing other administrative ad-hoc duties.
- Registering patients on Emis community.
- Scheduling, rescheduling, and cancelling patient appointments.
- Answering and directing incoming telephone calls professionally.
- Responding to enquiries and ensuring timely communication of information.
- Maintaining accurate and up-to-date patient records.
- Creating and sending Discharge Summaries and other investigation forms/referrals electronically.
- Contributing to conducting audits.
- Safeguarding patient information and complying with data protection regulations.
- Diverging information about colleagues or the organization only to authorized personnel.
Requirements
- Experience in GP practice Reception/Admin is essential.
- Right to work in the United Kingdom is required.
- DBS Checked.
