About the Role

Ares is seeking an AVP, Regional Facilities Manager UK/EMEA and LATAM for our Corporate Services department. This role oversees corporate real estate, facilities, and hospitality services, managing office operations in London and across Europe, the Middle East, and Latin America.

Responsibilities

  • Act as the senior Corporate Services and Facilities lead across the London, EMEA and LATAM offices.
  • Provide positive, supportive, and proactive leadership to the Corporate Services team.
  • Manage, coach, and develop team members, providing clear direction and supporting growth.
  • Provide regional leadership and subject matter expertise on Facilities and Corporate Services matters.
  • Partner with senior business leaders to understand evolving business requirements and translate them into effective workplace solutions.
  • Develop and implement consistent Corporate Services and Facilities standards across the regional portfolio.
  • Maintain oversight of the regional office portfolio, identifying opportunities to optimize space, service delivery, operational efficiency, and cost.
  • Establish and monitor operational, service, and financial metrics to drive performance and continuous improvement.
  • Monitor Facilities requests and ensure prompt and courteous responses.
  • Liaise with building management teams to resolve issues related to the physical operation of offices.
  • Manage relationships with office service providers.
  • Maintain appropriate levels of office and kitchen supplies.
  • Lead and coordinate seating allocation, visitor management, and new hire seating.
  • Manage the office access program and ensure compliance.
  • Perform regular walkthroughs to ensure office standards of service, presentation, and cleanliness.
  • Provide timely updates, clear expectations, and estimated completion dates for projects and issues.
  • Proactively identify opportunities to improve the employee and visitor experience and operational efficiency.
  • Assist with regional space planning, leasing, and broader workplace strategy.
  • Take ownership of the planning and delivery of regional office relocations, refurbishments, buildouts, stacking, and office closures.
  • Lead the day-to-day execution of workplace projects from planning through completion.
  • Work closely with stakeholders, landlords, contractors, and partners to ensure projects are delivered on time and within budget.
  • Lead change management and stakeholder engagement for workplace initiatives.
  • Maintain appropriate project documentation, financial records, and operational information.
  • Provide regular updates to stakeholders and escalate risks, issues, or changes.
  • Support the Head of International Facilities in preparing and managing annual operating budgets and financial forecasts.
  • Monitor office expenditure against budget and identify cost-efficiency opportunities.
  • Take ownership of the end-to-end purchase order and invoice management process.
  • Review and approve vendor invoices and ensure timely processing.
  • Resolve invoice discrepancies, purchase order queries, and supplier issues.
  • Establish and maintain effective relationships with key strategic vendors.
  • Review vendor contracts, upload them to Icertis, and onboard vendors through Coupa.
  • Ensure procurement activities comply with company policies and internal controls.
  • Maintain accurate financial and procurement records.
  • Act as the Corporate Services representative for Health & Safety across supported offices.
  • Serve as liaison for the Ares Risk & Crisis Team.
  • Coordinate emergency response procedures.
  • Ensure compliance with local legislation, building regulations, and Ares Corporate Services policies.
  • Coordinate workplace audits, compliance documentation, and insurance requirements.
  • Identify, assess, and manage facilities-related risks, escalating material risks and developing mitigation plans.
  • Support regional business continuity planning, crisis management, and emergency preparedness.
  • Assist with Emergency Preparedness initiatives and training.
  • Ensure office equipment is maintained and coordinate repairs.
  • Drive a culture of service excellence, accountability, and continuous improvement.
  • Use feedback, data, and metrics to improve service quality, efficiency, and the workplace experience.
  • Work collaboratively to deliver effective solutions to regional business needs.
  • Perform additional strategic and ad hoc functions and projects as required.

Requirements

  • 7+ years of experience in a Corporate Services environment
  • Knowledge of buildings, maintenance, and service
  • Experience of liaising with clients, tenants, consultants and local authorities
  • Managing third party contractors (in-house and externally)
  • Supervisory experience preferred
  • Knowledge of creating annual budgets
  • Exceptional customer service skills and demonstrates enthusiasm and flexibility
  • Adept at managing multiple tasks in a fast-paced environment with the ability to think ahead
  • Outstanding interpersonal and communications skills (written and verbal)
  • Demonstrates dependability, excellent organizational skills, business maturity, enthusiasm, and a positive attitude
  • Highly motivated work ethic, with the ability to recognize when a job needs to be done and the capability to do it completely, assuming responsibility for total quality
  • Handle office services duties and day-to-day issues independently, assuming responsibility without direct supervision
  • Strong experience in MS Office
