About the Role
This operational and project management role supports the day-to-day execution of initiatives across the Creative Marketing & Communications department, contributing to a collaborative, high-performing, and values-driven workplace. The position is responsible for managing timelines, coordinating cross-functional projects, organizing assets and samples, facilitating communication, and ensuring work moves efficiently across Creative, Social Media, Public Relations & Influencer Marketing, and Event Marketing to support overall business goals.
Responsibilities
- Coordinate projects from kickoff through final execution across multiple marketing disciplines.
- Build and maintain project timelines, department calendars, status reports and key milestone dates.
- Schedule department meetings, creative reviews, project kickoffs and cross-functional working sessions; prepare agendas, capture notes, and track follow-up actions.
- Track project feedback, approvals and revisions and communicate updates to relevant team members.
- Coordinate the organization and distribution of final creative assets to E-Commerce, Social Media, PR, Events, Retail, Merchandising, and Marketing, and other internal partners.
- Ensure files, project information, timelines, and deliverables are organized, current and easily accessible to the team.
- Help establish efficient processes and improve overall team organization.
- Support the Creative Marketing Manager with the planning and execution of seasonal campaigns and E-Commerce photoshoots.
- Maintain product sample organization and tracking for campaign and E-Commerce shoots, ensuring all product is received, organized, prepped and accounted for.
- Provide on-set production support and assist with day of shoot logistics as needed.
- Assist with catalog production, including asset organization, image tracking, product information, copy coordination, proofing and finalization.
- Coordinate product samples for media, influencers, partnerships, and brand ambassadors.
- Support influencer gifting logistics, shipments, returns, and tracking.
- Maintain and update influencer, stylist, media and partner contact lists to support ongoing outreach and relationship management.
- Assist with seasonal PR initiatives, brand partnerships, press opportunities, and related logistics.
- Support the planning and execution of brand events, store activations, and experiential marketing initiatives.
- Coordinate event materials, timelines, vendors, product needs, and day-of logistics to help ensure seamless execution.
- Assist with planning and execution of larger brand events, store activations, and partnership.
- Help with post-event recaps and follow-up with internal teams and external partners.
- Other related duties as assigned
Requirements
- 0-2 years of experience in project coordination, marketing, operations, or a similar role.
- Experience in fashion, retail, lifestyle, or consumer brands preferred.
- Outstanding organizational and time-management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Detail-oriented with excellent follow-through.
- Comfortable working across multiple teams and managing competing deadlines.
- Proficiency in Microsoft Office, Google Workspace, and project management tools such as Asana, Monday.com, Airtable, or similar platforms.
- Familiarity with Adobe Creative Cloud or Canva is helpful but not required.
- Positive, collaborative attitude with a willingness to jump in wherever needed.
- Flexibility to travel to local stores and events.
- Prolonged periods of sitting at a desk, standing, bending and working on a computer.
- Must be able to lift 15 pounds occasionally.
- Must be able to access and navigate various department at the organization's facilities.
