About the Role

The Office Manager serves as the operational backbone of the office, providing high-level administrative and strategic support to the Executive Coordinator. This role requires exceptional organizational skills, discretion, initiative, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Oversee daily administrative, operational, and clinical office functions of the health clinic.
  • Develop, implement, and improve administrative systems, workflows, policies, and procedures.
  • Supervise Clinical Receptionists.
  • Develop and maintain front desk staffing schedules and monitor staff performance.
  • Conduct team meetings and provide training, coaching, and professional development.
  • Oversee all patient reception and access functions, including registration, insurance verification, and scheduling.
  • Ensure accuracy, timeliness, confidentiality, and completeness of patient information.
  • Monitor appointment scheduling to maximize provider productivity and minimize patient wait times.
  • Ensure front desk staff deliver courteous, professional, and patient-centered service.
  • Respond to and resolve patient complaints and concerns.
  • Serve as the primary administrative liaison among providers, staff, patients, and external partners.
  • Coordinate provider schedules, clinic calendars, meetings, and administrative activities.
  • Support the onboarding and administrative orientation of new employees.
  • Assist with maintaining provider credentialing documentation and administrative records.
  • Maintain organized electronic and physical filing systems and ensure document retention.
  • Prepare and maintain correspondence, reports, presentations, and other administrative records.
  • Support operational readiness for audits, accreditation reviews, and regulatory inspections.
  • Coordinate facility operations, including maintenance, repairs, cleanliness, and safety.
  • Serve as the primary administrative contact for building management, vendors, and service providers.
  • Manage office supplies, medical office equipment, and general administrative resources.
  • Research vendors, obtain pricing, coordinate purchase requests, and assist with processing invoices.
  • Assist with processing invoices, expense reports, and purchase orders.
  • Maintain organizational calendars, shared resources, and general administrative functions.
  • Provide administrative support to clinical and executive leadership.
  • Coordinate logistics for organization-wide and clinic meetings, trainings, and events.
  • Monitor clinic operations and identify opportunities for process improvement.
  • Maintain a safe, organized, professional, and welcoming clinical environment.
  • Perform other duties and responsibilities as assigned.
  • Work in partnership with the Billing Manager and clinical leadership to coordinate clinic operations.
  • Lead daily administrative operations of the front desk and supervise Clinical Receptionists.
  • Partner with the Billing Manager for revenue-cycle-related front desk responsibilities.
  • Jointly develop front desk workflows, conduct staff training, and implement corrective action plans.
  • Maintain communication with the Billing Manager and clinical leadership regarding operational issues.

Requirements

  • Administration, Health Services Management, or a related field required.
  • A combination of equivalent education and relevant experience may be considered.
  • Minimum of five (5) years of progressively responsible administrative or office management experience.
  • At least three (3) years in a healthcare, outpatient clinic, Federally Qualified Health Center (FQHC), Article 28 clinic, or similar clinical setting.
  • Minimum of two (2) years of supervisory experience managing front desk, reception, or other administrative support staff.
  • Experience working with Electronic Health Records (EHR/EMR/InSync) systems and practice management software.
  • Working knowledge of medical terminology, patient registration processes, insurance verification, referrals, and prior authorization procedures.
  • Strong knowledge of HIPAA, OSHA, and applicable federal, state, and local healthcare regulations.
  • Experience developing office policies, improving operational processes, and implementing quality improvement initiatives.
  • Proven ability to lead teams, manage multiple priorities, solve complex operational issues, and exercise sound judgment.
