About the Role
Tribeca Hospitality Group operates multiple restaurants and is actively opening more. The Operations Support Manager owns the systems that make a restaurant run, such as standards, training content, task tracking, vendor records, and asset libraries, ensuring consistency across the portfolio. This role frees operating leadership from logistics by managing daily operations when people and materials are in motion, enabling new restaurants to open by duplicating a working template rather than rebuilding one.
Responsibilities
- Own the Opus learning platform: structure, content loading, manager training, and adoption.
- Manage SharePoint architecture and document recovery: taxonomy, permissions, and records.
- Maintain the SOP library: organization, version control, formatting, and physical production.
- Execute operational events: load-ins, hiring events, onboarding days, and training sessions.
- Develop and maintain the Red Book: vendor, service, and emergency contacts for every property.
- Manage the digital asset library: photography, brand assets, menus, and collateral.
- Administer meetings: recap read-back, commitment tracking, and task status.
- Maintain a detailed punch list: site and facility items below project-tracking level.
- Build and maintain the Opus platform, including structure, interface quality, content loading, and manager training.
- Train managers on the Opus platform, track completion by property and role, and keep content current.
- Build the Ludico SharePoint site to mirror existing properties and standardize to a portfolio taxonomy.
- Maintain the SOP library, including formatting, version control, approval status, and review dates.
- Produce physical SOP and training binders, creating a duplicable template for future openings.
- Sweep departments for records held on personal devices and migrate them into SharePoint with consistent naming and version control.
- Report missing documents to the responsible lead and establish shared storage as the default.
- Manage delivery load-ins, confirming windows, sequencing arrivals, directing labor, verifying orders, and staging materials.
- Oversee hiring, training, and onboarding days, including check-in, paperwork, setup, scheduling, logs, and binder distribution.
- Circulate a run-of-show for each event in advance, then debrief and revise it.
- Open weekly critical path meetings by reading back prior week’s commitments by owner.
- Verify task completion during meetings, updating status, percentage complete, and dates.
- Capture new commitments and log them by the close of the following business day.
- Flag items that have carried multiple weeks without movement.
- Maintain owner-facing calendar and timeline views.
- Update task status, percentage complete, completion, and dates on existing tasks within Asana.
- Add comments and attachments to tasks within Asana.
- Add new tasks to the designated intake section within Asana.
- Build a Red Book per property, including vendors, account numbers, contacts, frequencies, and escalation paths.
- Include emergency contacts and after-hours procedures in the Red Book.
- Maintain the central repository of photography, brand files, menus, and collateral with consistent naming.
- Gather content inputs from department leads and follow up on outstanding requests.
- Maintain a granular list of finish and facility items below project-level tracking.
- Walk properties on a defined cadence to log items, route them, and track them to closure.
- Perform one to two scheduled shifts per week, combining evening service and daytime operations.
- Participate in pre-shift meetings, service debriefs, and complete the same training curriculum as FOH staff.
- Provide logistical and support during Friends & Family events and soft openings.
Requirements
- Minimum 2 years in project coordination, operations support, or administrative management.
- Experience tracking commitments across multiple owners and coordinating days with many people and moving parts.
- Proficiency in Microsoft 365 (SharePoint, Teams, Outlook), task management platforms, and accurate data entry.
- Clear written communication skills.
- Exceptional organization and attention to detail.
- Comfort chasing people for information.
- Flexible schedule, including nights, weekends, and holidays during pre-opening, training, and service periods.
- Ability to stand and walk for extended periods, and move throughout multiple levels, including stairs.
- Ability to lift and carry up to 50 pounds.
