About the Role
This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management software to record, track, and report on all financial workings of the community.
Responsibilities
- Completes daily financial transactions by collecting and posting rent, fees, and other payments.
- Prepares daily bank deposits and reconciles bank accounts.
- Prepares financial reports and processes invoices and payables.
- Operates property management software (Yardi/OneSite) and ensures data integrity.
- Reviews resident files to identify and collect unpaid or late fees.
- Communicates with residents regarding outstanding balances and enforces lease terms.
- Submits vendor invoices for payment by reconciling work performed, obtaining approval, and coding charges.
- Manages communication between vendors, accounting, and clients/owners.
- Follows established procedures for evictions, including notice requirements and court representation.
- Processes resident move-outs according to lease terms and legal requirements.
- Promotes resident satisfaction and retention by addressing complaints and service issues promptly.
- Acts as on-site supervisor in the absence of the community manager, delegating tasks and managing operations.
- Assists in managing client/owner relationships by meeting with owners and providing community performance updates.
- Assists with leasing activities to achieve revenue and occupancy goals.
- Attends events and participates in outreach marketing efforts.
- Maintains confidentiality of resident and staff personal information.
- Reviews completed move-in files for accuracy (California only).
Requirements
- Understanding of lease terms and lease enforcement, including collections.
- Excellent written and verbal communication skills.
- Detail-oriented and self-motivated.
- Ability to work independently and as a collaborative team member.
- Incumbents must have all licenses and/or certifications as required by State and Local jurisdictions.
- Incumbents must have a valid driver's license to drive a golf cart on property.
- Demonstrated proficiency in Internet, word processing, spreadsheet, and database management programs.
- Ability to physically access all exterior and interior parts of the property and amenities.
- Ability to push, pull, lift, carry, or maneuver weights of up to twenty (20) pounds independently and fifty (50) pounds with assistance.
- Routine local travel may be required.
- Rare or occasional travel may be required.

Salary/Compensations
- May be eligible to participate in a quarterly or annual bonus program based on individual and company performance.
