About the Role
Ares is seeking an Event & Conference Sponsorship Manager to join the Events team within the Global Clients Solutions group. This role will manage and support firmwide participation in over 100 industry conferences globally, with a focus on owning key aspects of flagship events. The position requires strong project management skills to handle logistics, vendor management, and budget tracking in a fast-paced environment.
Responsibilities
- Coordinate participation, membership, and sponsorship of 100+ global third-party industry conferences annually.
- Manage 15+ conferences simultaneously, each at different planning stages and varying in size.
- Provide event support for select large flagship third-party conferences globally, including managing hotel blocks, sourcing gifts, coordinating transportation, handling event branding, organizing offsite dinners, managing booth activations, and overseeing meeting room needs.
- Serve as the primary relationship manager for conference organizers and vendors.
- Act as the central point of coordination for internal stakeholders.
- Negotiate sponsorship packages and ensure all deliverables are met by external organizers before deadlines.
- Order on-site signage, swag, and exhibitor booth equipment.
- Provide vendors with necessary logos, boilerplates, and speaker details.
- Partner with internal stakeholders (Relationship Managers, Investor Relations, Legal, Compliance, Corporate Communications, Creative Solutions) to manage conference planning.
- Gather business interest for conferences.
- Coordinate budget and compliance approvals.
- Execute contracts and process payments.
- Manage registrations and facilitate seamless event participation.
- Ensure adherence to all internal processes and controls, including obtaining approvals, meeting deadlines, maintaining accurate records, and keeping stakeholders informed.
- Manage the Industry Conference budget and individual event budgets, including creation, approvals, spend tracking, reconciliation, and invoice processing.
- Maintain the Industry Conference Calendar and individual trackers, ensuring they are up-to-date.
- Undertake ad hoc projects and support the broader team as needed.
Requirements
- Bachelor’s Degree required with outstanding academic record.
- 6-8 years of events, sponsorships, project management, or marketing experience required.
- Experience in the financial services industry strongly preferred.
- Proficiency in Excel, PowerPoint, and Word, and overall Microsoft Programs.
- Ability to thrive in a fast-paced, demanding environment while maintaining high-quality standards.
- Extremely organized and adept at time and inbox management to successfully manage multiple priorities with high-stakes deadlines; results-oriented.
- Strong communication skills, both written and interpersonal; client service oriented.
- Capability of interacting with key stakeholders to direct prioritization of related activity.
- Attention to detail and analytical thinking.
- Ability to exercise sound judgment in escalating issues versus solving problems independently.
- Demonstrated ability to research and leverage available resources to accomplish tasks.
- Comfort in dealing with ambiguity and uncertainty in a dynamic environment.
- Flexibility in terms of hours to coordinate with team members across various time zones.
