About the Role

The Event Coordinator organizes and executes all logistical planning for special events at various campus locations, serving as the primary point of contact for clients from initial inquiry to event completion. This role involves managing facility use agreements, invoicing, record-keeping, and facilitating reservations using event management software. The coordinator is also the designated on-site contact for evening and weekend events.

Responsibilities

  • Organize and execute all logistical planning for special events.
  • Serve as a point of contact for internal and external customers.
  • Oversee accurate processing of facility use agreements and account invoicing.
  • Maintain accurate records of usage and rental revenues.
  • Facilitate reservations using the event management system (EMS) software.
  • Act as the designated, on-site coordinator for evening and weekend events.
  • Set-up and takedown equipment for events, including moving tables, chairs, event staging, and sound systems.

Requirements

  • 3 years’ experience in event management or related field.
  • Working knowledge of facility management procedures.
  • Excellent written and verbal communication and customer service skills.
  • Working knowledge of laws, rules, regulations, agreements, and contracts in event planning and marketing.
  • Excellent organizational and time management skills.
  • Experience and knowledge with EMS reservations software including configuration and reporting.
  • Proven proficiency in Microsoft Suite programs, Adobe Suite programs, and event scheduling software.
  • Ability to set-up and takedown equipment for events, including the moving of tables, chairs, event staging, and sound systems.
  • Experience in working with a diverse group of students, staff, and community members.
