About the Role

Havenly is seeking a Creative Production Coordinator to support its creative production team. This role is crucial for managing photoshoots, studio operations, and creative projects, acting as the logistical engine for creative output. The coordinator will assist with shoot preparation, manage inventory, and ensure seamless project execution across various brand initiatives.

Responsibilities

  • Coordinate logistics for photo and video shoots, including preparing call sheets, schedules, permits, COIs, and contracts.
  • Support on-set operations for photo and video productions, coordinating talent, crew, products, props, wardrobe, and equipment.
  • Manage incoming and outgoing product samples, props, and creative assets, including tracking, labeling, and organizing.
  • Support the creative studio’s day-to-day operations, ensuring the space is organized and functioning efficiently.
  • Coordinate with photographers, stylists, set designers, models, vendors, and other partners to align production details.
  • Coordinate with offshore partners and sourcing teams to support production needs and ensure timely delivery of assets.
  • Serve as a key point of contact across creative, marketing, merchandising, and product teams to keep production logistics on track.
  • Manage project timelines, next steps, and action items, proactively communicating updates and risks.
  • Maintain production workflows, documentation, and status tracking tools.
  • Track and document production budgets and spend, including estimates, invoices, and project expenses.
  • Manage post-production asset organization and delivery, ensuring adherence to SOPs and naming conventions.
  • Maintain accurate asset libraries and ensure final deliverables are properly organized and accessible.

Requirements

  • 1–3 years of experience in a production, studio, marketing, or creative operations role.
  • Experience supporting photo and/or video production, including coordinating logistics, documentation, vendors, talent, and products.
  • Exceptional organizational skills with the ability to manage multiple tasks.
  • Strong project management skills and ability to manage timelines, action items, and competing priorities.
  • Familiarity with Google Workspace, project-management tools (e.g., Asana or Airtable).
  • Ability to approach ambiguous problems and act proactively.
  • Ability to move fast, take ownership, and hold oneself to a high bar.
  • Ability to collaborate well across teams with a low-ego, no-drama approach.
  • Interest in interiors, design, or lifestyle content is a plus.
  • Genuinely curious about AI-assisted tools and eager to adopt them.
  • Proactive, accountable, and eager to build something great.
  • Ability to handle fast-moving, high-energy situations with positivity and clarity.
  • Deeply organized and excited by creative work and imagery.
  • Excited to support the production process that brings brand creative to life.

  • Must be currently authorized to work in the United States on a full-time basis.
  • Ability to lift and move furniture, props, and equipment up to 50 lbs.
  • Ability to stand or be on feet for extended periods during shoot days.
