About the Role
Under supervision, this role is responsible for coordinating and scheduling surgeries and post-operative appointments. The Surgical Coordinator also assists in the efficient and effective utilization of the daily surgery schedule and facilitates the flow of surgical patients.
Responsibilities
- Monitor surgical schedules and physician availability to manage release time accordingly and in advance.
- Provide front desk and check-out coverage as needed.
- Act as a liaison between surgeon, operating room (OR) scheduling team, and surgical patients.
- Conduct all surgical pre-determination, authorization, pre-certification, and related appeals.
- Transmit all correspondence to insurance companies for medical necessity inquiries.
- Manage processes and documentation to ensure no surgical scheduling delays.
- Communicate detailed information and answer patient questions regarding surgery preparation and arrival/departure instructions.
- Prepare patient medical charts with all necessary surgical paperwork.
- Scan patient documents in the practice management system.
- Coordinate and schedule surgeries, post-operative appointments, and other related tests.
- Arrange for surgical assistants, special equipment, and surgical materials.
- Establish the order of surgical patients.
- Ensure surgeons are well informed on the status of their cases.
- Provide feedback to management on process improvements or opportunities for utilization enhancement and patient flow efficiency.
- Train support staff for back-up responsibilities.
- Assist physicians with administrative tasks related to patient communication and care.
- Verify patient insurance eligibility and obtain necessary pre-authorization numbers.
- Facilitate the communication and collection of any fees due from patients.
Requirements
- Approximately 2 or more years of experience in a patient-facing clinical setting.
Skills
- Previous experience using computerized appointment scheduling systems (EPIC preferred) and/or electronic Medical Record (eMR) system (ideally EPIC-Care).
- Knowledge of CPT, ICD-9, and ICD-10 coding.
- Working knowledge of third party payor reimbursement - Medicare, Medicaid, Managed Care and commercial insurance.
- Knowledge of medical terminology.
