About the Role

The Administrative Assistant will process vehicle sales transactions by managing legal documents, verifying costs, and handling contracts with financial institutions, dealerships, and customers. This role ensures all necessary paperwork for vehicle sales, including tax and title documents, is accurately prepared and submitted.

Responsibilities

  • Review all documentation for discrepancies and contact customers to update account information.
  • Prepare tax and title documents.
  • Submit all legal transfer documents to the DMV.
  • Prepare stock cards for new and used vehicles.
  • Receive and process paperwork from the financial department.
  • Post vehicle sales and purchases according to accounting and VMS.
  • Input inventory control information.
  • Prepare trade-in vehicle files.
  • Post aftermarket information to the online spreadsheet.
  • Update name and address files on an ongoing basis.
  • Perform clerical duties such as typing, filing, and sorting mail.
  • Maintain CSI in top 10% of group.
  • Support and endorse dealership policies and procedures.
  • Cross-train others for this position as directed by management.
