About the Role

The Facilities team is seeking a Facility Services Coordinator responsible for supporting all daily operations at the designated facility. This role is crucial for maintaining smooth daily operations and supporting various site functions.

Responsibilities

Oversee all mail room operations, ensuring cleanliness and safety.
Proficiently use UPS, FedEx, and Pitney Bows postage equipment and software.
Receive, sort, and deliver all incoming mail and package deliveries.
Greet visitors and assist with site-related matters.
Monitor office copier equipment daily, maintain paper stock, and report breakdowns.
Order copy paper and process special order requests for the assigned location.
Partner with the Facilities Manager on daily facility needs.
Liaise with the local Landlord on required functions.
Coordinate with service vendors during on-site work to ensure service delivery.
Support special set-up requests and catering deliveries for site events.
Maintain all site storage spaces.
Assist with assembling and disassembling office and conference room sets.
Set up and break down meeting and conference rooms as requested.
Assist executive suite personnel as requested.
Support HR teams with new hires, relocations, product donations, access badges, and on-site events.
Monitor shred bins and arrange for destruction when 50% full.
Monitor on-site destruction, maintain records, and report total weight.
Be punctual and meet attendance requirements.
Manage confidential information.
Assist with daily maintenance calls and work requests.
Perform other duties as directed by leadership.

Requirements

Must be able to lift, carry, and move items up to 25 lbs.
High school diploma or equivalent.
3-5 years of previous experience supporting an office environment.
Self-starter with the ability to work autonomously.
Critical thinker capable of identifying and resolving problems.
Clear communicator, able to transfer relevant information effectively.
Team player willing to contribute to shared goals.
Able to manage competing priorities and multitask effectively.
Mature, adaptable, and able to embrace ambiguity.
Well-organized with high attention to detail.
Strives for continuous learning and improvement.
Proficient PC user.
Working knowledge of Microsoft Office Suite.
