About the Role

The Manager, Building Services & Capital Projects is responsible for the delivery of Woodgreen’s capital projects and participates in the regular capital planning process. This role involves working with the leadership team to prepare capital and building services budgets, ensuring best value contracts and costs, and monitoring expenditures. The Manager is also responsible for building services contract management, rolling out preventative maintenance services, and overseeing Building Services staff to ensure the proper operation of all mechanical, electrical, and fire equipment.

Responsibilities

  • Develop, implement, and monitor routine preventative and maintenance repairs and cleaning schedules for the buildings.
  • Schedule staff, approve vacations, and track work attendance, coordinating with the payroll department.
  • Ensure prioritization, delegation, and completion of work orders.
  • Support staff development planning and implementation.
  • Support recruitment and evaluate qualified staff for the building services department.
  • Oversee inspection and sign off on all work done by external contractors prior to invoicing.
  • Maintain accurate and up-to-date databases for property management systems related to maintenance.
  • Manage inventory and purchase standard resources and supplies for regular maintenance functions.
  • Implement and monitor fire safety procedures, including monthly fire drills and staff training.
  • Implement and evaluate policies related to building maintenance, safety, and security.
  • Ensure WoodGreen policies and procedures are carried out in the operation of Building Services.
  • Establish and maintain links with external agencies and government bodies to ensure compliance with building, fire, health, and safety codes.
  • Prepare performance data and written reports as required.
  • Prepare annual maintenance work plans, operating budgets, and reserve fund/capital expenditure plans.
  • Track inventory of vehicles, tools, and mechanical equipment, ensuring they are in good working condition.
  • Participate in Capital Planning and provide oversight for asset management.
  • Manage capital projects work as outlined in capital plans and during inspections/emergencies.
  • Oversee emergency and unforeseen capital repairs.
  • Ensure an effective and timely Unit-Turn process.
  • Manage the repair of major capital systems and items in buildings and grounds.
  • Monitor budget expenditures for capital projects, preventative maintenance, and health and safety systems.
  • Assist with new developments and acquisitions.
  • Lead the planning and sourcing of vendors for preventative maintenance services.
  • Lead procurement for capital and preventative maintenance in compliance with WoodGreen’s policies.
  • Prepare annual preventative maintenance work plans.
  • Perform regular site inspections and support annual inspections and follow-up work.
  • Ensure building security and life safety systems are operational.
  • Lead the implementation of all capital-related records and maintain computerized records.
  • Maintain logs including fire safety, elevator inspections, material safety data sheets, and service records.
  • Monitor the service delivery of major site-wide contracts.
  • Collaborate with frontline maintenance and tenancy management staff to ensure effective customer service.
  • Coordinate with the Manager- Housing on capital projects, building services, and contracts.
  • Respond promptly to requests from internal managers, contractors, and statutory agencies.
  • Lead engagement and communication with tenants regarding capital plan projects.
  • Participate in regular Managers team meetings.
  • Ensure proper training for Operations and Building services to meet health and safety regulations.
  • Ensure anti-racism objectives and community development principles are achieved within the program.
  • Actively demonstrate and promote organizational values.

Requirements

  • Bachelor’s Degree or College Diploma or training in a relevant field.
  • 5+ years of relevant Facilities Management Training & Experience in various major Capital Project work, Building Services, Trades/Systems.
  • Knowledge of health and safety practices and regulations (Health & Safety Awareness for Supervisors course; WHMIS – Workplace Hazardous Materials Information System course).
  • Understanding and experience with budgeting.
  • Excellent planning skills.
  • Good level of understanding of building services blueprints.
  • Computer savvy (including MS Office Suite) and able to implement electronic work order system.
  • Strong knowledge and practice in building services components (e.g. CMRP, plumbing, electrical or HVAC certified) are preferred.
  • Knowledge of Yardi Software is considered an asset.
  • Red Cross Standard First AID and CPR/AED – Level C certificate.
  • Valid G Driver’s license with a clean driving record and access to a personal vehicle.
  • Excellent communication, interpersonal, leadership, and team building skills.
  • Strong proficiency in performance management.
  • An eye for detail and commitment to high standard of customer service.
