About the Role
Serve as a primary point of contact for business customers, process orders, and provide administrative support while maintaining positive customer relationships.
Responsibilities
- Serve as a primary point of contact for business customers via telephone and email.
- Respond promptly and professionally to customer inquiries regarding products, pricing, availability, orders, lead times, and general information.
- Process, enter, and maintain customer orders accurately.
- Assist with preparing and following up on customer quotations.
- Monitor open orders and communicate order status, delays, and other updates to customers.
- Research and resolve customer concerns, order discrepancies, and service issues.
- Coordinate customer requests and requirements with Sales, Engineering, Production, Quality, Purchasing, Shipping, and other internal departments.
- Maintain accurate customer, order, and related information in company systems.
- Assist Sales Representatives and other team members with customer requests and administrative support.
- Develop and maintain positive, professional relationships with customers.
- Answer, screen, and route incoming telephone calls in a professional and courteous manner.
- Greeting and assist customers, visitors, vendors, and other guests.
- Maintain a professional and welcoming reception area.
- Assist with visitor sign-in and other front-desk procedures.
- Respond to general inquiries and direct callers and visitors to the appropriate department or employee.
- Maintain confidentiality when handling customer, company, and employee information.
- Maintain organized records and documentation.
- Use Microsoft Office and company business systems to complete daily responsibilities.
- Prioritize multiple tasks while maintaining a high level of accuracy and customer service.
- Work collaboratively with employees across multiple departments.
- Perform other duties as assigned.
Requirements
- 2–3 years of customer service experience in manufacturing, industrial, distribution, or B2B environment.
- Experience supporting business-to-business customers.
- Previous experience processing and tracking customer orders.
- Experience with customer quotations, pricing, purchase orders, or order status inquiries.
- Familiarity with manufacturing processes, production schedules, inventory, or lead times.
- Experience working with technical, industrial, mechanical, or engineered products.
- Previous front-desk or receptionist experience.
- Experience coordinating customer needs with Sales, Production, Engineering, Quality, or Shipping.
- Experience supporting a sales or customer service team.
- Experience with an ERP, CRM or order-management system.
- Experience working directly with customers by telephone and email.
- Strong verbal and written communication skills.
- Professional telephone presence and interpersonal skills.
- Excellent customer service and problem-solving abilities.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong organizational and follow-up skills.
- Proficiency with Microsoft Office, including Outlook and Excel.
- Previous experience using an ERP, CRM, order-management system, or similar business software, or the ability to learn new systems quickly.
- Ability to work effectively with customers, visitors, and employees at all levels of the organization.
