About the Role

The Administrative Assistant will provide administrative support to the dean's office, faculty, and deans of the Holzschuh College of Business Administration (HCBA). This role involves assisting with and coordinating college functions and activities.

Responsibilities

  • Answer telephones, take messages, schedule appointments, and greet visitors professionally.
  • Perform general office tasks, reconcile the Dean's University credit card, maintain office supply inventory, and make travel arrangements.
  • Assist with faculty visit schedules and answer college and department-related questions.
  • Process faculty requests for reimbursements, submit travel requisitions and authorizations, and reconcile routine credit card transactions for the dean.
  • Maintain student files and provide support for graduation tasks, including ordering diplomas and assisting with student orientations.
  • Assist with organizing and executing annual college events, including CBA Honor Societies and Induction Ceremonies.
  • Handle correspondence and record minutes of meetings for faculty and other requested meetings.
  • Receive and distribute mail, and handle internal and external mailings.
  • Maintain an inventory of office supplies for the entire college.
  • Maintain calendars to schedule appointments for the dean and assistant dean.
  • Support department chairs and faculty as requested.
  • Coordinate meeting schedules for the College, including faculty, departments, and committees, and assist with room reservations and catering orders.
  • Work with the Assistant Dean to assign advice to faculty and maintain updated student records.
  • Use Microsoft Office or similar software to develop documents and spreadsheets for efficient office operations.
  • Maintain accurate information on advisory board members and facilitate communications with these groups.
  • Assist with college external and internal professional outreach functions.
  • Support deans as requested.
  • Maintain confidentiality of information, including student and employee personal information, during and after employment.

Requirements

  • Ability to read and comprehend English sufficiently to understand various forms, documents, files, and communications.
  • Basic mathematical skills.
  • Computer literacy with Microsoft Office (or similar office software suite).
  • Ability to learn and implement new computer software programs.
  • Strong communication skills, including answering phone calls professionally and responding to inquiries.
  • Excellent organizational skills with the ability to plan and coordinate activities and events.
  • Ability to be tactful and demonstrate sound judgment when dealing with difficult circumstances.
  • Ability to perform all essential job functions accurately with minimal direct supervision.
  • Desire to be innovative in finding solutions to problems.
  • Ability to display sound judgment to ensure timely processing and completion of assigned tasks.
  • High School diploma required.
  • A minimum of 3 years of experience performing similar tasks is required.
