About the Role

Cornell Cooperative Extension of Niagara County is seeking a full-time Facilities Manager to plan, manage, and coordinate the maintenance and appearance of the Association’s grounds and physical facilities, ensuring a safe environment for all.

Responsibilities

  • Resolve facility and maintenance issues and problems.
  • Provide guidance to the Executive Director on facility status and upkeep.
  • Manage physical facilities, overseeing construction and renovation projects.
  • Schedule vendors and contractors.
  • Set and manage daily, weekly, and monthly cleaning and maintenance schedules for various areas.
  • Oversee facility preparations for meetings, rentals, and events.
  • Perform mowing and snow removal.
  • Conduct repairs and minor carpentry and construction projects.
  • Maintain equipment.
  • Coordinate facility needs with the Executive Director and/or designated staff.
  • Ensure OSHA/PESHA safety regulations are followed.
  • Oversee facilities staff, including scheduling, assigning duties, training, and performance oversight.
  • Develop written plans and strategies for facility, equipment, and grounds maintenance records.
  • Develop plans to track building and equipment maintenance schedules.
  • Provide input to the Executive Director for the facility budget planning.
  • Plan for staffing needs of the facility.
  • Plan for facilities needs to be fulfilled by outside contractors/vendors.
  • Develop relationships with local vendors and contractors.
  • Provide planning input and guidance for facility upkeep and repairs.
  • Plan and organize work responsibilities for facility staff.
  • Establish and design the emergency preparedness plan, including staff training.
  • Confer with leadership on strategic facility needs.
  • Supervise facilities staff, including scheduling, assignment of duties, training, and performance oversight.
  • Oversee all aspects of cleaning, upkeep, maintenance, and repair of the Extension’s building and grounds.
  • Maintain building and equipment maintenance schedules.
  • Oversee and ensure completion of written plans and records for facility, equipment, and grounds.
  • Provide guidance and recommendations on facility status, repairs, and upkeep.
  • Ensure emergency preparedness plans are monitored and updated.
  • Oversee construction and renovation projects, moves, building security, inventory control, and scheduling of vendors and contractors.
  • Collaborate to negotiate contracts with vendors and/or contractors.
  • Ensure efficient utilization of facility maintenance staff.
  • Monitor facility budget and expenses.
  • Provide reports on project conduct to the Board of Directors and committees.
  • Assure compliance with all OSHA/PESHA safety regulations.
  • Assure security of the facility.
  • Oversee troubleshooting and scheduling of routine maintenance and inspections of vehicles and equipment.
  • Oversee routine maintenance of building(s) mechanical equipment.
  • Oversee and coordinate arrangements for storage and removal of winter storage vehicles.
  • Make arrangements for buildings to be opened and closed.
  • Oversee the preparation and maintenance of grounds, buildings, and driveways for the Niagara County Fair.
  • Oversee fair set up and tear down.
  • Manage trash/debris removal for the Niagara County Fair.
  • Oversee electrician and electrical troubleshooting and repair for the Niagara County Fair.
  • Review and approve time cards and time-off requests for direct reports.
  • Facilitate routine ordering of cleaning supplies, building materials, and maintenance items.
  • Safely operate all vehicles and other job-related equipment.
  • Follow instructions regarding the use of chemicals and supplies.
  • Record use and storage of all chemicals and cleaners.
  • Conduct training on Emergency Preparedness.
  • Maintain buildings, performing minor and routine painting, plumbing, electrical wiring, and other related maintenance activities.
  • Make minor maintenance repairs as needed.
  • Track and ensure delivery schedules, quantity, and quality criteria are met.
  • Check completed work by contractors and vendors.
  • Perform grounds maintenance, including mowing, shrubbery maintenance, weeding, fertilizing, rolling, snowplowing, shoveling, and salting.
  • Operate small and large motor equipment for grounds maintenance.
  • Clean and maintain all public areas, restrooms, meeting rooms, and offices.
  • Remove garbage, trash, and recyclables.
  • Clean and maintain appliances and equipment.
  • Provide general maintenance and repairs.
  • Maintain paper goods and supplies.
  • Handle deliveries and errands.
  • Maintain security of buildings and grounds.
  • Schedule routine maintenance/inspections of vehicles and equipment.
  • Replace bulbs and/or ballasts of interior/exterior lighting.
  • Keep light fixtures clean.
  • Troubleshoot and maintain building(s) mechanical equipment.
  • Maintain log of activities and duties performed on vehicles/equipment.
  • Arrange for fire extinguisher maintenance.
  • Perform routine maintenance of HVAC systems.
  • Consult Rental/Sign-out calendar daily for building and grounds use.
  • Interact with storage/rental customers.
  • Check facilities after use by renters and report damage.
  • Set up and clean-up for events and meetings.
  • Interact with and assist customers and catering staff as needed.
  • Represent the Association and interact with clientele, staff, volunteers, and the public courteously and respectfully.
  • Prepare and submit accurate expense reports, mileage reports, receipts/supporting documentation, and/or vouchers.
  • Maintain confidentiality of all information and data.
  • Provide data and information to assist with preparation of reports.
  • Transport self and/or program materials/resources.
  • Develop and pursue a professional development plan.
  • Participate in all required orientation, training, and/or in-service meetings and events.
  • Support the association to maintain a safe working environment.
  • Be familiar and strive to follow applicable regulations, association health and safety policy/procedure/requirement and standard.
  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors.
  • Collaborate in activities that are in general support of Cornell Cooperative Extension.
  • Conduct all programming and activities in accordance with applicable laws and regulations.
  • Adhere to established Cornell Cooperative Extension Association policies, procedures, processes and Skills for Success.
  • Represent Cornell Cooperative Extension to the public, community leaders, colleagues, volunteers, members of Cornell University faculty and staff, government officials and the general public professionally.
  • Perform all assigned duties in a professional, timely, and accurate manner.
  • Maintain regular and predictable attendance and punctuality.

Requirements

  • Bachelor’s degree or Equivalent Education. Associates degree plus 2 years transferrable program/functional experience may substitute.
  • Valid New York State Driver’s License.
  • Ability to meet travel requirements associated with this position.
  • Ability to meet acceptable background check standards.
  • Ability to work flexible hours, which may include evenings and/or weekends, as appropriate.
  • Ability to clearly communicate (speak, read, and write proficiently) in English.
  • Experience working with engineers, architects, carpenters, masons, plumbers, and electricians.
  • Demonstrated ability to provide leadership, supervision, and guidance to staff.
  • Ability to operate facility equipment, such as tractor, skid-steer, lawn mower, snow blower, etc.
  • Ability to climb and perform work from a ladder.
  • Demonstrated ability to provide cleaning, maintenance, and repair work.
  • Knowledge of cleaning, maintenance, and repair methods, materials, and techniques applicable to public buildings.
  • Ability to work independently with a minimum of supervision.
  • Ability to complete work within a reasonable time frame.

  • Regularly exposed to work near moving and/ vibrating mechanical parts.
  • Noise level in the work environment is typically moderate and occasionally very loud, especially when using equipment like lawnmowers, leaf blowers, snow blowers, etc.
