About the Role
Manage and perform a broad range of asset management tasks, including equipment lists, qualification status, equipment-related SOPs, contracts, and preventive maintenance records. This role also involves cold storage maintenance, vendor interaction for equipment purchasing and maintenance, and managing the ISENSIX Remote Monitoring System.
Responsibilities
- Manage and perform comprehensive asset management activities supporting GMP and GTP laboratory operations.
- Maintain and oversee the Master Equipment List, equipment records, qualification documentation, preventive maintenance schedules, service agreements, calibration records, and asset history documentation.
- Develop, implement, and maintain asset management processes to ensure equipment reliability, compliance, operational readiness, and inspection preparedness.
- Coordinate equipment lifecycle activities including installation, qualification, preventive maintenance, corrective maintenance, troubleshooting, relocation, and decommissioning.
- Evaluate equipment performance, maintenance trends, and operational risks to support continuous improvement and reliability initiatives.
- Oversee maintenance, cleaning, decontamination, and inventory of LN2 freezers, mechanical freezers, lab refrigerators, controlled rate freezers, and other GMP critical laboratory equipment.
- Create and store maintenance and quality control (QC) logs for all equipment for CCS and NCBP.
- Plan and manage equipment decommissioning and relocation as needed.
- Generate requisitions and process vendor invoices, track billing and payments, and monitor spending and adherence to budget.
- Administer the ISENSIX Remote Monitoring System (Master Administrator level) for NYBC, including equipment maintenance, installation, replacement of components, validation of environmental monitoring, annual sensor testing.
- Provide training and technical support to end users of the ISENSIX system.
- Collaborate with department heads, technicians, finance, Environmental Health and Safety, purchasing, Quality and Regulatory Affairs, facilities teams, and project management.
- Provide technical expertise and operational guidance for equipment-related projects, laboratory expansions, relocations, and process improvements.
- Participate in project planning and implementation activities involving laboratory infrastructure, equipment, and operational readiness.
- Develop, revise, and review SOPs, work instructions, and controlled documents.
- Conduct staff training related to equipment operation, procedures, safety requirements, and operational processes.
- Supervise the Supply Chain Supervisor in creating and maintaining the materials inventory system and performing product shipments and daily maintenance tasks.
- Oversee inventory control processes to ensure appropriate stock levels, material availability, traceability, and compliant storage practices.
- Support optimization of laboratory supply workflows to minimize shortages, reduce waste, and improve operational efficiency.
- Ensure materials management activities align with GMP/GTP requirements and departmental procedures.
- Support development, execution, and maintenance of equipment qualification activities, including IQ, OQ, and PQ.
- Create and maintain validation documentation, protocols, reports, and supporting records in accordance with GMP requirements.
- Ensure equipment and monitoring systems remain compliant with internal procedures, regulatory expectations, and quality standards.
- Partner with Quality Assurance and Regulatory Affairs during audits, inspections, investigations, and documentation reviews.
- Maintain equipment documentation packages to ensure inspection readiness and traceability.
- Manage vendor relationships to ensure service quality, timely completion of maintenance activities, and compliance with operational requirements.
- Generate purchase requisitions, process invoices, track expenses, and support budget management activities.
- Monitor departmental spending, identify cost-saving opportunities, and support financial planning for equipment and operational needs.
- Coordinate laboratory gas supply activities, including vendor communication, inventory monitoring, and expense tracking.
- Serve as primary point of contact with equipment manufacturers, service providers, and vendors for equipment procurement, preventive maintenance agreements, repairs, qualifications, calibration services, and technical support.
- Identify opportunities to improve equipment reliability, reduce downtime, enhance compliance, and optimize operational workflows.
- Analyze equipment performance data, maintenance history, and operational trends to support proactive decision-making.
- Implement process improvements that increase efficiency, reduce operational risk, and improve laboratory support capabilities.
- Support risk assessments, change controls, and corrective/preventive actions related to equipment and operational activities.
Requirements
- Five (5) or more years in biomedical laboratory, warehouse inventory management, equipment maintenance, materials management, requisitions and invoicing, training in biomedical waste, SOP review, staff development, CO2 and LN2 handling.
- Strong adaptability with electronic systems for inventory and SOP management.
- Supervisory skills.
- Ability to contribute to technical SOPs and Policy manuals.
- Basic knowledge of regulatory agencies’ requirements.
- PC proficiency with MS Office Suite.
- Understanding of work to be performed under aseptic and GMP regulations.
- Training and monitoring of laboratory personnel.
- Continuous attention to detail in all work processes, neat and organized records.
- Ability to follow standard operating procedures and to work aseptically inside a biosafety cabinet.
- Ability to work independently.
- Excellent ability to communicate clearly, both in writing and verbally.
- Ability to interact with others at various levels of the organization and with customers in a helpful, courteous, and friendly manner.
- Ability to work collaboratively in a team environment.
- Ability to be responsive and willingly available to management staff to address issues and concerns as they arise.
