About the Role

The Director of Business Operations leads key non-clinical business functions, including purchasing, procurement, vendor and contract management, facilities operations, and administrative services, to ensure efficient operations and effective management of organizational resources.

Responsibilities

  • Direct and oversee organizational purchasing and procurement activities.
  • Establish purchasing standards, controls, and policies.
  • Oversee inventory management processes and systems.
  • Ensure purchasing and inventory system users are trained and procedures are current.
  • Develop, implement, and maintain procurement-related policies, SOPs, and internal controls.
  • Oversee the preparation, approval, tracking, and fulfillment of purchase orders.
  • Monitor procurement workflows for timely delivery and resolve delays.
  • Manage office supply, medical-surgical supply, and other purchasing programs.
  • Analyze organizational spending patterns to identify cost savings and improvements.
  • Collaborate with Accounting and Finance on purchasing processes and reporting.
  • Monitor inventory and purchasing performance through reporting and data analysis.
  • Develop and maintain a comprehensive vendor management strategy.
  • Evaluate, select, onboard, and oversee vendors, suppliers, contractors, and service providers.
  • Negotiate pricing, service agreements, delivery terms, and contractual arrangements.
  • Establish vendor performance expectations and monitor service levels.
  • Serve as the primary organizational liaison with vendors, suppliers, and contractors.
  • Lead competitive bid processes, RFPs, and RFQs.
  • Investigate and assist in resolving issues involving vendors.
  • Maintain positive vendor relationships while ensuring accountability.
  • Manage the full lifecycle of business contracts, including negotiation, review, execution, renewal, amendment, and termination.
  • Maintain a centralized contract repository and tracking system.
  • Oversee service contracts, purchasing agreements, and other operational business agreements.
  • Ensure appropriate organizational review and authorization of contracts.
  • Monitor contract compliance and vendor adherence to obligations.
  • Maintain and track Certificates of Insurance (COIs) for vendors and partners.
  • Conduct annual reviews and audits of contracts and vendor agreements.
  • Partner with leadership, legal counsel, and Finance on contract negotiations and risk management.
  • Direct facilities operations across all locations to ensure safe and efficient environments.
  • Oversee the third-party facilities team, prioritizing and managing projects.
  • Coordinate facility refresh and improvement initiatives.
  • Manage relationships with property management companies, contractors, and vendors.
  • Ensure compliance with safety, regulatory, environmental, and operational standards.
  • Support business continuity, emergency preparedness, and physical security initiatives.
  • Monitor facilities-related budgets, contracts, and vendor performance.
  • Lead departmental staff responsible for purchasing, procurement, facilities, contracts, and administrative operations.
  • Develop operational metrics, dashboards, and performance indicators.
  • Drive cost-containment, efficiency, and process improvement initiatives.
  • Support strategic planning, organizational growth, and capital investment initiatives.
  • Participate in budgeting, forecasting, and resource allocation processes.
  • Represent the organization in negotiations and business partnerships.
  • Lead special projects and other operational initiatives as assigned.

Requirements

  • Bachelor's degree in Business Administration, Healthcare Administration, Operations Management, Finance, or related field required.
  • Minimum of 5 years of progressive leadership experience in business operations, facilities management, procurement, or related administrative functions.
  • Experience negotiating contracts and managing vendor relationships.
  • Experience developing budgets and managing operational expenses.
  • Healthcare experience preferred.
  • Strong contract negotiation and vendor management skills.
  • Knowledge of procurement, facilities operations, and business insurance programs.
  • Ability to analyze financial and operational data and make strategic recommendations.
  • Excellent project management capabilities.
  • Strong leadership, communication, and relationship-building skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office and business management systems.
