Responsibilities
- Act as receptionist, purchase and maintain office supplies, and set up and maintain files, records, and logs.
- Assemble and type documents using PC or word processing equipment.
- Verify completeness and accuracy of information, proofread work, and correct errors.
- Utilize PC, computer systems, calculator, and office equipment for data management.
- Assist in procurement by preparing requisitions and purchase orders, and receiving materials.
- Research, prepare, and generate routine and complex invoices.
- Create, maintain, and close service and construction orders, including preparing progress and completion reports.
- Create, schedule, and maintain preventative maintenance programs.
- Create and maintain inventory control for spare parts and equipment.
- Perform routine clerical duties including mail handling, copying, sorting, filing, and retrieving materials.
- Compile and prepare regular and non-routine reports from various sources.
- Post jobs and associated documentation.
- Maintain monthly organization charts and telephone listings for New York Operations.
- Prepare trouble, interruption, and equipment failure reports.
- Maintain services for recreational facilities by coordinating seasonal paperwork.
- Receive and dispatch orders and information via phone and radio.
- Assist the Corporate Safety Department in coordinating Safety/Training Programs.
- Maintain petty cash.
- Prepare and maintain personnel reports concerning payroll, accidents, illness, absences, and vacations.
- Assist in the administration of employee benefits.
- Assist in coordinating vacation and work schedules.
- Maintain Preventative Maintenance Program for Transportation Vehicles.
- Handle contacts with customers, contractors, and other departments.
- Assist employees of a higher grade.
- Guide the work of others of a lower grade.
Requirements
- Ability to prioritize own work and apply individual judgment.
- Good organizational and communication skills.
- Ability to type 50-60 wpm.
Skills
- Proficient with standard clerical computer programs such as Microsoft Office.
Experience Level
- 2 years after ratification and after five (5) years in their current position for incumbents in Operation Clerk A, Purchasing Processing Clerk C, and Steno Clerk C positions to progress to pay group 13.
- Progression through the series in time and grade for successful bidders.

Education Level

- Clerical associate's degree preferred
