About the Role
This role supports the Berlin location coordination with the organization of ongoing tasks. The focus is on office organization, communication, data maintenance, events, and reliable support for the work with volunteers, elderly friends, and visiting partnerships.
Responsibilities
- Office organization at the Berlin location, including answering the phone, processing the general Berlin email address, documenting inquiries, and forwarding them to the responsible persons.
- Maintenance and updating of our database, especially for volunteers, elderly friends, and existing visiting partnerships.
- Support in volunteer management, e.g., by sending information, registration links, and volunteer agreements, as well as support for initial interviews if needed.
- Organization and accompaniment of information events, including appointment maintenance on the website.
- Creation of monthly statistics, support with annual reports and evaluations for the board, fundraising, and communication.
- Support with activities, volunteer fairs, information booths, network meetings, and events in the Berlin office.
- Support for volunteer teams and minute-taking at team meetings, coordination meetings, and network meetings.
- Taking over general administrative tasks such as research, cash accounting, forwarding expenses to accounting, preparing materials, and birthday greetings.
- Acting as a substitute during vacation or illness after internal coordination.
Requirements
- Experience in administration, office organization, project coordination, or comparable tasks.
- Enjoyment of structured work, documentation, and data maintenance.
- Reliable, accurate, and independent way of working.
- Friendly and clear communication by phone and email.
- Confident use of Office programs, Excel, and digital tools.
- Ideally, experience with databases.
- Interest in working with older people and volunteers.
- Willingness to work on-site at the Berlin office (home office is not planned for this position).
- Willingness to occasionally support events or appointments outside of classic office hours.
