About the Role

Blackstone is seeking an experienced client services professional to manage and coordinate operational teams in Tokyo. This role serves as the primary contact for employee and client inquiries, issues, and feedback related to office services, aiming for efficient and positive resolutions. The candidate will deliver exceptional workplace experience through engagement, proactive communication, and high-touch service. Additionally, this role will fulfill the responsibilities of the designated Fire Safety and Disaster Prevention Manager as required by local regulation.

Responsibilities

  • Lead all Workplace Experience operations for the Tokyo office, including reception, hospitality, pantries, conference rooms, office services, catering, internal events, and facilities management, ensuring delivery of a seamless, high-quality workplace experience aligned with Blackstone standards.
  • Oversee the planning, coordination, scheduling, and execution of meetings, events, and visitor services, including room bookings, catering logistics, vendor coordination, room setup, and on-site support, while serving as the local subject matter expert for workplace technology platforms such as EMS, Cvent, and Envoy.
  • Manage day-to-day office operations through regular walkthroughs, inventory management, quality control, and oversight of maintenance, repairs, cleanliness, and food and beverage areas to ensure operational excellence and compliance with health, safety, and regulatory requirements.
  • Build, document, and continuously improve standard operating procedures, service standards, and workplace processes across all Workplace Experience functions, leveraging reporting, activity tracking, SLAs, KPIs, and data analysis to identify service enhancements, operational efficiencies, and cost optimization opportunities.
  • Develop and maintain strong relationships with internal stakeholders, clients, vendors, building management, and service providers, including vendor onboarding, performance management, contract compliance, invoice processing, and ongoing partnership management to ensure consistent service delivery within budget.
  • Partner with Facilities, Corporate Real Estate, Design & Construction, Physical Security, Finance, and Procurement teams to support workplace projects, office moves, space reconfigurations, workplace technology initiatives, and overall operational continuity across the Tokyo office.
  • Manage Workplace Experience budgets, including expense tracking, financial reporting, annual planning support, and identification of cost-saving opportunities while maintaining service quality and operational effectiveness.

Requirements

  • 8+ years of experience in workplace operations, hospitality, food & beverage, reception services, or related corporate services environments.
  • Exceptional customer service and interpersonal skills, with the ability to build strong relationships, anticipate stakeholder needs, and manage sensitive or challenging situations with professionalism, discretion, and diplomacy.
  • Strong organizational, multitasking, and problem-solving abilities, with excellent attention to detail and the ability to manage competing priorities, meet deadlines, and deliver results in a fast-paced environment.
  • Proactive, resourceful, and results-oriented self-starter with sound judgment, a strong work ethic, and the ability to remain calm under pressure while working independently and collaboratively within a team environment.
  • Excellent written and verbal communication skills in both Japanese and English, with the ability to represent the firm professionally with internal stakeholders, vendors, landlord representatives, building management, and local authorities.
  • High level of professionalism, integrity, and executive presence, including a polished demeanor and appearance.
  • Familiarity with workplace health and safety practices, including fire safety, emergency preparedness, evacuation planning, incident response, and related compliance procedures preferred.
  • Japanese and English both reading, writing and speaking required.
