About the Role
We are seeking an experienced Office Manager to establish and oversee our first US office in New York. This role involves project managing the office fit-out, ensuring it aligns with our brand and culture, and managing day-to-day operations for a team of 25-30 people.
Responsibilities
- Partner with the London team and US realtor to assess shortlisted spaces.
- Project manage the office fit-out on a lean, cost-conscious budget.
- Ensure the office mirrors the design and vibe of our London HQ.
- Source and manage local contractors, furniture suppliers, and tradespeople.
- Set up core office infrastructure including internet/telecoms, security, and access systems.
- Establish vendor and supplier relationships in New York.
- Ensure the space meets local health, safety, and building compliance requirements.
- Manage the smooth day-to-day running of the office environment.
- Maintain a clean, organised, and professional workspace.
- Manage ordering and restocking of office consumables and supplies.
- Proactively identify and address operational issues.
- Coordinate building maintenance requests and ensure timely resolution.
- Monitor and record utility meter readings.
- Manage repairs, upgrades, and ongoing facilities upkeep.
- Support the team with IT and tech issues in partnership with the IT Manager.
- Maintain strong relationships with external service providers.
- Monitor vendor performance to ensure high-quality service delivery.
- Review contracts and negotiate terms when needed.
- Act as the primary liaison with the building's security team.
- Manage employee access cards and keys; enforce security protocols.
- Ensure compliance with health, safety, and security regulations.
- Support a positive workplace culture by coordinating office events and team-building activities.
- Ensure the office feels culturally consistent with our other offices.
- Address employee feedback related to the workplace experience.
- Implement and maintain office systems to streamline workflows.
- Oversee inventory and ensure office supplies and equipment are well-stocked.
- Develop tracking systems to reduce waste and avoid shortages.
- Serve as the first point of contact for office-related queries.
- Communicate timely updates on office changes, events, and service disruptions.
- Coordinate internal messaging related to office operations and engagement.
- Manage and track the office set-up budget and ongoing office-related expenses.
- Maintain accurate budget records and prepare spending reports.
- Identify cost-saving opportunities.
Requirements
- Proven experience setting up and launching an office from scratch.
- Established network of contractors, designers, vendors, and suppliers in New York.
- 5+ years of experience in office management or facilities management at a senior level.
- Experience managing an office environment for creative, marketing, and commercial teams.
- Working understanding of US commercial real estate and office fit-out processes.
- Confidence operating independently as the most senior person on the ground.
- Exceptional organisational skills with the ability to prioritise and manage multiple responsibilities.
- Keen eye for detail and design.
- Excellent communication skills, both verbal and written.
- Comfortable collaborating remotely with a London-based team.
- Knowledge of US health and safety and building regulations.
