About the Role

FIRST is a global brand experience agency providing Content, Creative, Digital Technology, Management & Delivery, and Data & Insights services. We manage over 37,000 events and projects annually across 110 countries for over 130 brands, specializing in Fortune 500 companies.

Responsibilities

  • Full life-cycle planning and execution of virtual, in-person, and hybrid events.
  • Manage budgets, expenses, and invoice processing, including post-meeting reconciliation and financial reporting.
  • Source, negotiate, and manage contracts for venues and suppliers.
  • Coordinate event logistics including registration, F&B, transportation, accommodations, entertainment, A/V, and speaker selection.
  • Collaborate with internal partners on event deliverables such as design, A/V, event technology, and attendee management.
  • Plan and manage virtual events, including platform selection, timelines, invitations, and communication.
  • Ensure adherence to client operational standards, policies, and compliance guidelines.
  • Travel for site inspections and on-site event management.
  • Conduct post-event wrap-ups, including reconciliation, observations, and client debriefs.
  • Track time spent on projects for accurate work reflection.
  • Co-plan larger programs with colleagues and clients, demonstrating strong teamwork.
  • Share knowledge of best practices, new suppliers, services, and venues.
  • Support clients with internal and client-facing events and conferences, delivering exceptional service through effective project management and creative solutions.
  • Oversee all aspects of event operations from initial briefing to post-event reconciliation.

Requirements

  • 2-4+ years of event management experience, preferably in a corporate or financial environment.
  • Proficient with Microsoft Office applications (PowerPoint, Excel).
  • Ability to work independently, project plan, and think innovatively.
  • Excellent project management skills with the ability to manage multiple projects simultaneously under pressure.
  • Virtual event experience preferred (Webex, Zoom a plus).
  • Leadership, influencing, negotiation, and decision-making skills.
  • Resourceful with the ability to take direction and work independently.
  • Customer focus, approachable, and adaptable to client needs and styles.
  • Strong client management skills.
  • Strong oral and written communication skills.
  • Ambitious, proactive, and highly organized.
  • Willing to travel for site-visits and on-site event management.
  • Experience working with large and complex databases preferred (Cvent experience preferred).
  • Knowledge of venues and suppliers in key European cities.
