About the Role
Responsible for the coordination, adaptation, and implementation of the production process from brief through to final production phases. This role supports the Project Management Lead, Team Leads, and Project Managers in the efficient running of accounts and the department.
Responsibilities
- Manage projects from start to finish, including dissecting initial briefs, writing briefs, managing feedback, and delivery for jobs, projects, and campaigns.
- Support Project Managers with complex or bespoke campaigns and account tasks.
- Act as the project owner.
- Serve as the first point of escalation for Project Managers within the team for issue resolution.
- Act as the first point of contact for internal resource queries or support.
- Champion new and improved ways of working, implementing processes, efficiencies, and structure.
- Champion new technologies and support their implementation or change.
- Support the onboarding of new brands and/or clients.
- Support account transitions to different global studios.
- Create and update workflow documentation.
- Create and update reporting documentation as required.
- Create and update supporting documentation, such as training documents, and ensure they are maintained centrally.
- Support the Print Project Management Lead and/or Team Lead on assigned tasks.
- Manage other ad hoc requests as needed.
- Mentor, support, and train colleagues, new starters, and freelance resources.
- Act as the key liaison with internal stakeholders.
- Serve as the point of contact for HWW hubs and external stakeholders/third parties.
- Provide day-to-day support contact for Global Studio, in addition to the Print Project Management lead and/or Team Lead.
- Lead calls with internal and external stakeholders when required.
- Estimate projects and individual jobs, including reconciliations.
- Manage project finances from job creation, estimating, budgeting, revenue recognition, billing, and raising POs.
- Oversee SOX & Revenue reports as applicable.
- Initiate and oversee billing if required.
- Oversee updates to finance trackers and reporting trackers as applicable.
Requirements
- Technical understanding and competency of 'Static production' (e.g., Press, OOH, POS, Shopper, Brochures, Literature, Social, Digital, and Presentations) in relation to Creative, Retouching, Mastering, and Adaptation & Localization.
- Proven experience of working in a Static Production project management role (5 years +).
- High level of IT literacy, including use of Acrobat, Office 365 (e.g., Microsoft Excel, Microsoft PowerPoint, Microsoft Word, Microsoft Outlook, Microsoft Teams).
- Strong numeracy skills (e.g., Excel formulas, cost estimation in Excel).
- Resilience and ability to work under pressure, including time management, attention to detail, and the ability to plan and prioritize own work and support others.
- Problem-solving skills, including identifying challenges and providing solutions.
- Experience managing and servicing international accounts in multiple markets with multiple stakeholders is desirable.
- Excellent prioritization, time management, and attention to detail.
- Proactive decision-making ability.
- Resilience to manage multiple projects in a fast-paced environment.
- Fluent oral and written English is essential; other languages are desirable.
