About the Role
The Business Coordinator is the first point of contact for contract administration and related business support across the Japan organisation. You will coordinate contracts from preparation through approval, signature and filing, while helping Japanese and English speaking stakeholders work together effectively. This is an opportunity to combine bilingual communication, document expertise and stakeholder coordination in a varied role.
Responsibilities
- Coordinate contracts and company documents across internal teams, leadership, external counsel and global partners.
- Check that documents have completed the appropriate review process, support approval and signature workflows, follow up on outstanding actions, and arrange the distribution and filing of completed documents.
- Act as a key user and administrator of the online contract management system, Precisely.
- Support new-user access, respond to contract administration enquiries, maintain accurate records, and help improve the consistency and efficiency of contract-related workflows.
- Prepare, edit and maintain confidential correspondence, agreements, templates, reports, presentations and meeting minutes in Japanese and English.
- Compare and mark up documents, draft and translate legal and business materials for internal review, and support communication in meetings and negotiations when required.
- Help new employees and system users understand legal tools, approved templates and contract processes.
- Share practical guidance, promote consistent ways of working and support the adoption of approved documentation and workflows.
- Work closely with stakeholders in Japan and internationally.
- Support legal initiatives, maintain templates and documentation standards, and help coordinate legal and compliance-related matters across functions.
- Support senior leaders with contract execution and document approvals.
- Handle sensitive information with discretion and provide coordination support for meetings, calendars and business materials when needed.
Requirements
- Up to two years of experience in legal operations, contract administration, paralegal work, executive support or business coordination
- Fluent written and spoken Japanese and English
- Confidence working with both legal and business stakeholders
- Strong accuracy and attention to detail when handling confidential documents
- Ability to manage multiple priorities and meet demanding deadlines without compromising quality
- Strong organisational, prioritisation and time-management skills
- Ability to work autonomously and take initiative in a fast-paced environment
- Advanced skills in Microsoft Word, Excel, PowerPoint and Outlook
- Clear written and verbal communication, with strong grammar, spelling and listening skills
- A collaborative, adaptable and dependable approach, with integrity and an eagerness to learn
