About the Role
The Account Coordinator supports the account management team by managing project administration, financial operations, vendor coordination, billing processes, job management, and day-to-day account operations. This role acts as the operational backbone of the account team, ensuring projects are correctly initiated, estimated, approved, tracked, billed, and closed while maintaining compliance with internal finance and procurement processes.
Responsibilities
- Support Account Directors and Account Managers with day-to-day account administration.
- Coordinate project setup and ensure all required project documentation is in place.
- Manage job opening requests and maintain project tracking systems.
- Support internal status reporting and operational governance processes.
- Coordinate monthly billing and invoicing processes.
- Manage client estimate preparation and approval workflows.
- Ensure client-approved estimates are properly documented and archived.
- Coordinate purchase order (PO) creation and tracking.
- Collect vendor invoices and submit billing requests to finance teams.
- Support invoice generation and client billing processes.
- Maintain billing trackers and project financial records.
- Assist with cost allocation, budget tracking, and financial reporting.
- Support vendor onboarding and registration processes.
- Coordinate procurement documentation and compliance requirements.
- Issue and track purchase orders.
- Manage vendor communications regarding estimates, invoices, and payments.
- Maintain vendor databases and documentation.
- Ensure projects follow established operational and financial processes.
- Serve as a key operational contact for internal teams, vendors and finance.
- Ensure project documentation, approvals, and communications are accurately managed.
- Support account leadership with operational planning and process improvements.
- Maintain billing and operational process documentation.
- Ensure compliance with agency procedures relating to project setup, estimation, purchasing,and invoicing.
- Support training and onboarding of team members on operational processes.
- Identify opportunities to improve efficiency, consistency, and scalability across accountoperations.
Requirements
- 2-5 years of experience in Account Coordination, Project Coordination, Operations Coordination, Client Services, or Agency Administration.
- Experience working within an advertising, marketing, digital, media, production, or communications environment.
- Experience supporting project administration and financial processes.
- Strong organizational skills with excellent attention to detail.
- Ability to manage multiple projects and priorities simultaneously.
- Strong verbal and written communication skills.
- Demonstrates AI fluency, including the ability to leverage AI tools to enhance work quality and productivity, critically evaluate outputs, and apply ethical and responsible judgment in their use.
- Experience within an agency environment.
- Familiarity with project management, procurement, and finance workflows.
- Experience coordinating multiple stakeholders and vendors.
- Working knowledge of project budgeting and invoicing processes.
