About the Role
As Recruiting Operations Manager, you'll own the systems, processes, data, and programs that power hiring at Hex. This is a builder role focused on scaling the recruiting function with infrastructure that includes clean data, sharp reporting, efficient workflows, and a positive hiring experience. The goal is a hiring system that measurably improves each quarter through automation, allowing recruiters and hiring managers to focus on judgment, relationships, and closing.
Responsibilities
- Own the recruiting tech stack end to end, including configuration, integrations, and vendor management.
- Design and continuously improve the hiring workflow, removing or automating manual steps.
- Make build-versus-buy and consolidate-versus-keep decisions for the tech stack.
- Build recruiting analytics for decision-making, including pipeline health, funnel conversion, time-to-fill, source effectiveness, and hiring forecasts.
- Establish and enforce data hygiene and reporting standards.
- Partner with Finance and People on headcount planning, req management, and pipeline alignment.
- Identify and implement AI improvements in the funnel, defining success metrics.
- Set guardrails and build shared, reusable workflows for the team.
- Define where human involvement remains in the hiring process.
- Treat hiring as a system, testing and measuring sourcing approaches, interview structures, and automations.
- Lead interviewer training, structured interview rollout, and consistency programs.
- Build the operating rhythm, including dashboards, weekly reporting, and QBR inputs.
- Own candidate experience operationally, ensuring SLAs, communication cadences, and feedback loops.
- Ensure automation enhances, rather than detracts from, the human element of the candidate experience.
Requirements
- 6+ years in recruiting operations, talent operations, or a closely related People Ops, BizOps, or analytics role.
- Experience scaling a function at a high-growth company.
- Deep hands-on expertise with an ATS (ideally Ashby) as an admin and workflow builder.
- Strong analytical skills, including owning recruiting data, building dashboards, and translating funnel metrics into recommendations.
- Comfort with SQL and BI tools is a plus.
- Evidence of building internal tools, automations, prompt libraries, or workflow experiments.
- A track record of turning messy, manual processes into scalable, documented, adopted workflows.
- Experience implementing AI-powered recruiting automation with a clear point of view on its application.
- Sound judgment on when to automate, redesign processes, or keep things simple.
- Experience partnering with recruiters, hiring managers, and cross-functional stakeholders.
- Comfort with ambiguity and a bias to action.
- Headcount planning tools, HRIS systems, and experience working alongside a data team are bonuses.
