About the Role

The Parts Schedule Coordinator is responsible for coordinating the parts production schedule and ensuring parts are accurately pulled, organized, packaged, and distributed according to customer orders, production run lists, and scheduling requirements. This position plays a key role in maintaining accurate inventory, work orders, and scheduling information while supporting the efficient flow of materials between facilities.

Responsibilities

  • Coordinate and maintain the parts schedule based on production priorities and run lists.
  • Receive orders from the front desk and coordinate the accurate pulling of parts according to paperwork.
  • Bag and organize work orders according to the appropriate production run lists.
  • Gather information and assist with the preparation of the weekly schedule update.
  • Pull parts from the plant warehouse and verify quantities and part numbers against paperwork.
  • Package, crate, and load parts for shipment or distribution.
  • Track raw parts and materials moving between facilities.
  • Gather and coordinate demand transfers to ensure parts are available where needed.
  • Perform cycle counts during downtime to maintain accurate inventory levels.
  • Maintain accurate paperwork for work orders, inventory counts, receivers, and material transfers.
  • Update and maintain computerized inventory and scheduling information.
  • Take parts orders from customers by phone and email and ensure orders are accurately documented.
  • Communicate with Production, Parts, Shipping, and other departments regarding scheduling and parts availability.
  • Identify and report inventory discrepancies, missing parts, or scheduling issues.
  • Ensure outgoing inventory is accurately accounted for and distributed according to established procedures.
  • Use downtime productively by assisting with cycle counts, inventory organization, demand transfers, and other parts-related tasks.
  • Follow all company safety policies and procedures.
  • Perform other duties as assigned.

Requirements

  • Strong attention to detail and accuracy.
  • Basic computer skills and ability to learn inventory and scheduling systems.
  • Ability to read and use a measuring tape.
  • Strong organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple work orders and priorities.
  • Ability to lift or assist in lifting packages up to 45 pounds.
  • Previous power tool experience is beneficial.
  • Forklift operating experience is a plus.
  • Ability to work independently and effectively as part of a team.
  • Ability to meet scheduling deadlines and maintain accurate records.
